Coordinates with

Internal: Operations and Program, Board, Sub-Committee

External: Partner organizations, Donors, Thai government units for regulatory reporting

Responsibilities

Summary

The Administrative Officer will work under the direction of the Operations Director in providing support on the day-to-day tasks associated with the administration of the organization.  The Administrative Officer will help with correspondence and coordination, document preparation and processing, and office management. He/she will delegate tasks and supervise the Logistics and Admin Assistant.

Job Specific

 

Administrative

Focal person for all organization documents. 

Translation of documents from Thai to English and/or English to Thai.

 Prepares documents for compliance with the Thai government including required documents for banking.

Taking minutes of the meetings as requested

Manages contract between Suwannimit Foundation and other parties such as office rent, photocopy machine rent.

Processes payment of office related rent.

Arranges meeting which includes booking of venue and catering service, and transportation arrangement.

Handles travel arrangement of staff and visitors such as booking of flight and accommodation and vehicle arrangement.

Maintains office supply and equipment

 

Finance

Manages the budget for office costs.

Handles transaction of payment such as money transfer, cash deposit and withdrawal.

 

Human Resource

Manages the Logistics and Admin Assistant and HR Intern on a day to day basis.  

 

General

    Other ad-hoc duties as needed

Education

Completion of a degree course

 

Management, Business/Public Administration or other related professions

 

Work Experience

At least 1 year experience demonstrating hands-on skills in administrative functions

 

 

 

Skills/Knowledge/Aptitude

Ability to communicate clearly both verbally and in writing

Computer literacy, knowledge of MS Word, Excel and PowerPoint

 

 

Language(s)

Thai proficiency

Basic  English speaking, reading, and writing

Burmese or Karen an advantage

Motivation

Special interest in improving the works of grassroots organizations

Self-motivated, and a self –starter but able to work as part of a team

Demonstrated resourcefulness

 

Other

Familiarity with the border context, preferably Thailand-Myanmar border

Special interest in improving the works of grassroots organizations
