Position Announcement: Administration Assistant   

Position Type: Part-time -  16 hours/2 days per week (Tuesday & Thursday)

Location: Bangkok, Thailand

Reports to: Country Manager

Date: 18th July 2018

Deadline for Applications: 29th July 2019

Start date: 1st August 2019

About the Administration Assistant  

The position of Admonition Assistant is responsible for providing general administration services and working with internal and external stakeholders to ensure the HOST Thailand Refugee Support Programme runs effectively and efficiently.

 

Reporting to the Country Manager, this position will support daily activities and provide support to all team members and external stakeholders as required.

 

Responsibilities

  • Provide the Refugee Support Programme with day-to-day organisation, coordination and administrative support, including the purchasing of essential items for the office and payment of bills; 
  • Contribute to business activities by producing and formatting documents, reports, proposals, presentations, spreadsheets and other correspondence as required by the Refugee Support Programme;
  • Assisting the Refugee Support Programme to schedule and run meetings, workshops and events in Bangkok and the surrounding provinces when required;
  • Assisting the Refugee Support Programme to
  • Develop and maintain effective communication and positive working relationships with internal and external stakeholders.
  • Support non-Thai national staff to understand Thai culture and norms and to apply this knowledge for the appropriate functioning of the HOST Thailand office.
  • Perform other duties commensurate with skills and experience as required.

 

Selection criteria

  • Highly developed organisational skills and an ability to multi-task and set priorities;
  • Proven experience delivering exceptional customer service, both internally and externally;
  • Be a confident communicator with strong interpersonal skills and a good sense of humour;
  • High level written, verbal and electronic communication skills, and an ability to successfully manage multiple communication channels;
  • A positive attitude, energy and enthusiasm and ability to work in a self-directed manner with minimal supervision; and
  • Confidence to confidently navigate new computer systems and an intermediate knowledge of Microsoft Office including Word, Excel and PowerPoint.
  • Experience working in a not for profit context;
  • Experience scheduling and running meetings and events;
  • Ability to work cross-culturally and have a functional level of English.
