Programme and Administrative Officer
The Friedrich-Ebert-Stiftung (FES) is the oldest political foundation in Germany. The work of FES focuses on the core values of social democracy – freedom, justice and solidarity. With our network of offices in more than 100 countries, we promote the establishment and consolidation of democracy and social justice and are pioneers for free trade unions and a strong civil society. We organize events and publications around these goals, build transnational networks and progressive coalitions between individuals and organizations. In Thailand and the region, FES strives to understand the trends of globalization, digitalization, climate change, labour mobility and regional integration. We also facilitate inclusive dialogue and participation in the fields of civic education, gender justice and peaceful transformation.
We are currently seeking a full-time Programme and Administrative Officer to join our dynamic team of seven at the Bangkok office. The initial contract is up to July 2020 with possibility of extension after adjustment of our country Programme.
Main tasks and responsibilities
Under the overall supervision of the Resident Director and Programme Managers you will:
- Support the Director and the Thailand team to manage our country Programme and Programmes in the region
- Work with us to prepare, implement and follow-up seminars, workshops and innovative event formats, e.g. sending out invitations, flight and hotel bookings (event management)
- Help us to design, produce and distribute research studies, publications and brochures in print and online (publication management)
- Inform interested persons about our work and respond to their requests, take care of visitors and Programme experts, maintain the office contact database (contact management)
- Perform all regular secretarial tasks, including communication with partners and service providers, management of office purchases, coordination of IT system (office management)
- Compose, proofread and translate Programme related information and administrative documents like event schedules, reports, information sheets and office templates
- Assist the team in official matters and applications to Thai authorities like registration, visa, work permit etc.
- Support the Financial Manager with payments and financial document preparation
- Take over other reasonable tasks assigned to by the employer
Personal qualification and skills
- University degree in (Business) Administration or related field
- A minimum of five years work experience in a relevant field
- Fluent in both Thai and English, German language skills are an asset
- Very good communication skills, speaking and writing
- Flexible and adaptable to FES staff and partners, strong team player
- High sense of responsibility, able to work independently without daily supervision
- Highly organized and possessing acute attention to detail
- Willing to help with other programs and projects, if needed
- Ready to work on weekends and in the evening during seminars, willing to travel in the country and abroad
- Good Microsoft Office skills, experience with simple graphic design Programs and O365 is an additional asset
