Plan International Thailand Job Advertisement: Office Administrative Assistant

 

Plan International is an international humanitarian, child-centered development organization, advancing children’s rights and equality for girls.

 

Position:  Office Administrative Assistant

Assignment duration: Permanent Contract.

Duty station: Bangkok

 

JOB BACKGROUND:

Working in 71 countries across the world we engage people and partners to: Empower children, young people and communities to make vital changes that tackle the root causes of discrimination against girls, exclusion and vulnerability; Drive change in practice and policy at local, national and global levels through our reach, experience and knowledge of the realities children face; Work with children and communities to prepare for and respond to crises and to overcome adversity; Support the safe and successful progression of children from birth to adulthood Office Administrator will responsible for Front Desk and Office Maintenance

 

 

TYPICAL RESPONSIBILITIES:

Front Desk Services:

 

  • Front Desk Functions; receiving incoming calls and messages and forwarding them to respective staff or team members in an absence of the person
  • Responsibility for office phone system and switchboard maintenance
  • Responsibility for mailroom function, including postal and courier services
  • Visitor facilitation; inform staff of visitors’ arrival, coordinate with the office cleaner for necessary services assistance
  • Observe the cleanliness and tidiness of the Office, particularly the front office area
  • Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
  • Assists in planning and arranging events, including organising catering
  • Manage outgoing post
  • Manage outsource messenger as needed
  • Photocopies, scanning and files appropriate documents as needed
  • Working with HR to updated staff list

 

Office Maintenance:

 

  • Assist Office Administrator in checking office facilities and equipments, ensuring that they remain in good condition at all time
  • Assist Office Administrator in coordinating with the building management on matters regarding building facilities, ensuring they are in good condition and due services are delivered in timely manner

 

 

ENTRY QUALIFICATIONS, SKILLS & EXPERIENCE:

 

Qualifications and experience

 

  • Bachelor’s Degree in Business administrator or any other relevant qualification;
  • 2+ years of hands on administrative support experience
  • New graduate also welcome
  • Confidentiality, reliability and punctuality
  • Flexible and service-minded
  • Ability to multitask, prioritize, and manage time efficiently
  • Ability to build strong relationships with staff at every level
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel) / experience in SAP system would be advantage
  • Good command of spoken and written English
  • Team player, comfortable with working with people from different cultures
