The ICRC Regional Delegation in Bangkok seeks to fill the following position:

Receptionist/Secretary

Full-time (100%)

The International Committee of the Red Cross (ICRC) works worldwide to provide humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and at the same time promote respect for international humanitarian law.  We are an independent, impartial and neutral international organization, whose humanitarian mandate stems essentially from the Geneva Conventions of 1949. We work closely with the International Movement of the Red Cross and Red Crescent and the Thai Red Cross Society to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or other situations of internal violence. We support our partners of the International Movement during responses to large scale natural disasters in the region.

The ICRC delegation in Thailand is seeking an experienced and highly motivated person to fill the above-mentioned position.

Responsibilities:

Reception:

  • Receives incoming calls and transfers them to the concerned persons
  • Takes messages from the callers and relay information to persons
  • Receives visitors and inform concerned persons
  • Manages car-parking stamps and billing records
  • Updates and Manages the phone-list and phone duty roster

Secretarial tasks:

  • Manages all internal outgoing mails to various offices of ICRC
  • Manages the pickup/dispatching of all incoming and outgoing mails (DHL, post office, etc) and ensure its flow to the internal concerned destinations
  • Organizes meetings upon request and deals with all logistical aspects involved
  • Performs general secretarial tasks; correspondence, photocopying, scanning, etc.
  • Announces the closing days of the Office
  • Agenda keeping
  • Updates various listings
  • Performs tasks upon assignment by direct supervisor

Standard working hours; Mon-Fri 08:00-17:00 hrs (12-13:00h lunch break)

Reporting to; Executive Assistant & IM Officer

Requirements:

  • Thai nationality; Thai mother tongue
  • Proficiency in English
  • Secretary Diploma
  • 1-3 years’ work experience in a similar function
  • Good computer skills, incl. Lotus Notes, Outlook, Word, Excel and PowerPoint, Internet, etc.

  • Good organisational, methodical abilities, sense of initiative, pro-activeness and setting priorities
  • Flexibility, patience, and capacity to adapt to changes
  • Service-oriented attitude
  • Discreet and able to maintain confidentiality
  • Strong communication skills and at ease with internal and external interlocutors
  • Ability to work effectively as a team member in a multicultural environment.
