Job Description

Job Title:  CASE PROCESSING OFFICER (Scanning and Medical)

Band / Level / Grade:  8B

Department:  CASE PROCESSING

Location:  BANGKOK, THAILAND

 

Background/IRC Summary:  The IRC has a rich history of assisting refugees to apply for U.S. resettlement, from its founding in 1933 to help vulnerable individuals escape Nazi-occupied Europe, to pioneering the Joint Voluntary Agency which assisted Indochinese refugees for 22 years, to operations in Croatia, Sierra Leone and Sudan. Over the years, IRC has processed some half million refugees worldwide for U.S. resettlement.

 

Based in Bangkok with four field offices in Thailand and Malaysia, the IRC Resettlement Support Center (IRC-RSC) assists persons throughout East Asia seeking permanent resettlement in the United States. Operating in fifteen countries, the RSC prepares refugee applications for the U.S. Refugee Admissions Program, provides information to resettlement agencies about arriving refugees and offers cultural orientation training to those refugees bound for the U.S

 

Job Overview/Summary:  The Case Processing Officer (CPO) is responsible for daily workload of Scanning and Medical.  This position will prioritize and complete for scanning and attaching documentations and complete data entry of medical information into WRAPS database in a timely with accurate manner.  This position reports to Case Processing Manager of Scan and Medical Team.

 

Major Responsibilities:

  • Scan and attach file documentations of Post USCIS cases into WRAPS database.
  • QC scanned documents for accuracy (complete, legible scan with correct naming convention).
  • Implement complete quality control the documentations and ensure all required documents are available both in WRAPS system and physical file before storage case in the library with accurate manner.
  • Update medical information into WRAPS database in a timely with accurate manner.

        Ensure all required medical documentation scan and attach into WRAPS system before passing to Library         team for filing in the physical file.

  • Implement quality control the medical information and documentation be available both in WRAPS and physical file before moving forward with further processing.
  • Ensure workload completion in a timely manner, or otherwise keep supervisors advised of workload
  • Maintain clear channel of communication to effectively reports supervisors and external partner as
  • Maintenance of various reporting mechanisms such as Tableau reports as required.
  • Provides statistics on workload as requested.
  • Maintain current and accurate case information according to SOP, OGM and guideline.
  • Assist with document management, including printing, copying and filing.
  • Assist with other basic administrative and clerical support tasks as needed.
  • Other duties as assigned such as Post Update and Travel Packet.

Position Reports to:  Case Processing Manager
Position directly supervises:
  None

   - Indirect Reporting:  Senior Case Processing Officer

 

Other Internal and/or external contacts:

Internal:  RSC Program Case Processing team, Program Support team, Casework team, Pre-Post Follow up team, WRAPS team, Library team, and IPD program

External:  IOM and RAs

 

Job Requirements:

Education:  University Degree

Work Experience: Minimum two years experience in an office environment or with refugee resettlement a plus.

Demonstrated Skills and Competencies:

  • Ability to juggle multiple tasks, set priorities, effectively manages time, and meets deadlines.
  • Excellent organizational skills, flexible, attention to details and ability to work effectively under
  • Ability to take direction from supervisors and cooperate with teammates.
  • Previous experience working with refugees and in a multi-cultural environment a plus.
  • Strong data entry experience.
  • Proficiency in Microsoft Word, Excel, Email, Adobe Acrobat, and WRAPS.
  • Good English communication skills, both written and oral.

Working Environment:  This position is located at the RSC office in Bangkok and is primarily office based.  The employee is required to adhere to “The IRC Way” for professional conduct, as well as to be in compliance with all relevant IRC and donor policies and procedures while carrying out his/her duties.
