Intern, Human Resources
INTRODUCTION
This internship aims to offer students undergoing graduate or post-graduate studies and recent graduates a meaningful work experience by supplementing their learning through a practical and on-the-job training approach. In doing so, the intern’s knowledge is supplemented through a practical learning experience while IUCN derives some level of advantage from the young professional’s services as well as the possibility of gaining new perspectives from the intern.
SPECIFIC DUTIES
The Intern will support the Regional HR Team, Asia in all administrative tasks as assigned. The Intern will be trained and mentored in carrying out HR-related activities on a daily basis. Duties and responsibilities, inter alia, include the following:
Records Management and Administration
Assist in the creation of a functional Records Management System within the regional HR office and support the required maintenance and upkeep of the same through proper filing of records, keeping in view specific document classifications (confidential, official, unclassified, etc.) as well as retrieval and reporting
Under close guidance of the line manager, draft and develop a document retention schedule in accordance with acceptable standards
Create new subject files (official status file, recruitment, payment, performance, among others) as required and dispose old files in accordance with the document retention schedule
Organize and maintain electronic records using file conventions for quick retrieval and develop an electronic archive for records as mandated by the retention schedule prior to physical disposal
Assist in clerical functions such as photocopying, collecting reference materials and document circulations
Under the direction of the line manager, provide support in administrative functions related to HR business operations such as recruitment, payroll, and other transactional activities, among others
Support the Regional HR Manager in finalizing HR rules revisions with respect to ensuring a standard format across all main and reference documents such as creating and updating of hyperlinks, bookmarks, references, footnotes and indices.
Append primary rule documents with supplementary information, annexes, process flows and/or diagrams and check both internal and external references and cross-references between rules to ensure synchronized information is achieved
Update employee’s information on the HR Information System.
Perform other functions, as may be appropriate under the conditions of the internship.
REQUIREMENTS
Knowledge in Human Resources.
Administrative and organizational skills
Good command of English
Good interpersonal skill
Competent in using Microsoft Office
