Purpose of Position:
The Program Assistant (PA) provides administrative and operational support to the Program Officer, Scholarship Programs in administering various components of scholarship programs including outreach, selection, and grantee monitoring. S/he also supports new business development activities and provides administrative assistance to the Director.
Essential Duties and Responsibilities include the following.
Provide general operational and administrative support to the IIE-SEA program portfolio:
Conduct outreach for potential grantees. Produce and disseminate outreach materials, and answer applicants’ questions.
Review and process scholarship applications for technical completion and accuracy; follow up with applicants as needed to complete materials. Assist with scheduling selection interviews and coordinating with selection panelists.
Field general inquiries: provide informed responses to general and program-specific questions; escalate non-standard issues as needed.
Create, maintain, and deliver content for scholarship programs in social media, especially Facebook and IIE/SEA website, to broaden online engagement in region.
Provide logistical support for program events and enrichment activities. Identify and coordinate with vendors.
Support travel logistics for student groups including travel, accommodations, meals, lectures, site visits, cultural programs, and other group activities.
Assist program grantees with maintaining compliance with program requirements.
Process payments for grantees.
Manage petty cash process for the office. Update program expenditures and reimbursement check lists.
Maintain accurate grantee and program alumni records.
Support special program initiatives through research and making recommendations to management.
Responsible for complying with applicable contract and sponsor requirements and following all IIE policies and procedures.
Performs other related duties and functions as assigned.
Education/Experience:
Bachelor’s degree or equivalent, preferably in Business Administration, Education, or related field.
At least 3 years of administrative experience, preferably with an international organization in a related field.
Experience working with international exchange programs preferred.
Knowledge of U.S. and Thai higher education systems a plus.
Knowledge, Skills, and Abilities:
Excellent interpersonal and communication skills, both written and verbal.
Attention to detail in collecting documentation, composing, and proofing materials.
Demonstrated ability to process an often changing, workload with multiple priorities under tight deadlines.
Proven ability to take initiative and identify proactive solutions.
Proven ability to work independently and collaboratively on a team.
Demonstrated multicultural sensitivity Interest in international exchanges and/or international experience
Ability and willingness to travel within designated local region, and possibly internationally, up to 10%.
Proficiency with MS Office 2010 applications including Word, Excel, Access, and Outlook; internet software and database software.
Fluent speaking/reading/writing in Thai and English is required. Non-native English speakers must provide a copy of a valid TOEIC score of at least 800 (or equivalent) before the deadline.
