Organisational background
The Support Services department covers five units, namely the Human Resources, Finance, Administration, Information technologies (IT) as well as Reporting. All units cooperate closely in order to provide efficient support services based on IFRC quality standards, competitive cost and time criteria. All units deliver efficient support services to various stakeholders at all levels in the South-East Asia Regional Delegation such as all programme teams and IFRC visitors in Thailand, Partner National Societies, National Societies and Country Delegations.
The mission of the Administration and Logistics unit is to provide cost effective day to day quality administrative and logistics services that enhance the productivity of the Country Cluster Support Team, in accordance with IFRC standard procedures, policies and regulations.
The Driver reports to the Senior Administration Officer to achieve the mission of the Administration unit in close collaboration with other units in the Support Services Department.
Job purpose:
To drive IFRC office vehicles (motorbike and car) as per the planning approved by the Senior Administration officer.
To provide messenger services to the delegations upon booking request.
To assist the Senior Administration officer in some administrative tasks in the office.
Job duties and responsibilities
Driver service:
• Drive IFRC office vehicles (motorbike and car) according to the planning approved by the Senior Administration officer.
• Strictly follow the Federation guidelines and regulations about the use of vehicles, including the speed restrictions, the security regulations, comply with Fleet regulations, etc.
• Strictly to follow Royal Thai Government street and traffic regulations.
• Keep the car and motorcycle clean and in good condition.
• Check petrol and oil levels, battery, tires, (etc.) to ensure safe driving.
• Bring the vehicle for regular check and maintenance.
• Keep the logbooks updated for both the motorcycle and the car, e.g. mileage, gasoline consumption etc.
• Moving stuff back to office when delegate end of mission (if required)
• Workshop stuff loading and unloading to hotel for any workshop
• Airport drop and airport pickup service
Messenger service:
• Provide professional messenger services to the delegations upon booking request including (but not limited to):
• Deliver letter, documents and other materials to various agencies, government departments, hotels and hospitals, etc.
• Send mail or parcel to Post office.
• Support Federation staffs to apply for visa as required.
• Pay all office bills and delegate utilities
• Withdraw money from the bank and submit documents to the bank
Qualifications, experience and skills required:
• Relevant certificate
• Having driving license and clean driving record
• Willingness to work irregular shift hours, as well as work after hours, weekends and public holidays, at short notice.
• An ability to work well independently and as part of a large team. Capacity to undertake additional security training to operate high performance vehicles as required.
• Sound medical fitness as required of professional drivers.
• Respect and realize the culture diversity
• Prefer at least 5 years’ experience of driving company car in Bangkok and upcountry
• Prefer working experience with multi-cultural organisation
• Good Driving in gentle manner
• Good driving skills. A valid Thai driver’s license is essential, as is a clean driving record.
• Good communication and interpersonal skills with Thai and foreign officials is required.
• Computer skills are required for data entry into computers, including a working knowledge of Microsoft Office software. A demonstrated ability in basic office and administration skills would be highly advantageous.
• Fluently spoken and written English
