1. Background
FHI 360 is a nonprofit organization that works to improve health, education, and economic opportunity so people can live healthy lives. The EpiC project supports HIV programs, strengthens global health security, improves maternal and child health, addresses malaria, and helps build strong health systems.
2. Purpose of Consultancy
FHI 360 is seeking an Administrative Associate (Consultant) to support U.S. Government–funded EpiC Thailand.
The consultant will provide day‑to‑day administrative, procurement, travel, and logistical support to ensure smooth project operations in line with FHI 360 policies and donor requirements. The role helps organize meetings, trainings, travel, procurement, and office operations. This position ensures that the EpiC Thailand team can carry out activities smoothly and on schedule.
3. Scope of Work
Working under the supervision of the project operations team, the consultant will support routine administrative and operational tasks. This role does not involve supervisory responsibilities.
Key Responsibilities
Administrative Support
· Provide daily administrative support to project staff.
· Maintain organized electronic and hard‑copy filing systems.
· Prepare basic correspondence, reports, presentations, and meeting materials.
· Schedule meetings and support simple logistics (room booking, refreshments).
· Handle document formatting, copying, scanning, and filing.
· Maintain administrative records, including service contracts and inventories.
· Support organization of meetings, workshops, and trainings.
Procurement Support
· Support preparation of procurement requests in line with FHI 360 procedures.
· Collect vendor quotations and assist with comparison summaries.
· Coordinate with FHI 360 Asia Pacific Regional Hub on purchase orders.
· Track deliveries and assist with receipt documentation.
· Maintain procurement and inventory tracking files.
Travel and Event Logistics
· Support domestic and international travel arrangements.
· Assist with flight bookings, hotel reservations, and visa documentation.
· Maintain travel schedules and tracking lists.
· Support logistics for training and workshops.
· Assist with travel expense documentation.
Other Duties
· Coordinate with internal staff and partners on administrative matters.
· Support donor‑related administrative requirements as assigned.
· Perform other duties as required by the supervisor.
4. Qualifications
· Thai national
· Bachelor’s degree in Administration, Management or a related field.
· 2–4 years of relevant administrative or operational support experience.
· Strong computer and spreadsheet skills.
· Strong organizational skills and attention to detail.
· Experience working with NGOs, donor‑funded projects, or government partners is an advantage.
· Prior experience working with FHI 360 is an advantage.
