Terms of Reference: Finance and Administration Officer (Internship) – Base in Bangkok  * LOCAL HIRE ONLY!

Position

The Sustainable Rice Platform (SRP) Services Co., Ltd. is seeking an Office and Administration Officer (Internship) to support and strengthen our Secretariat team based in Bangkok. The successful candidate will work closely with the SRPS Managing Director and Secretariat staff to establish and manage robust financial governance and statutory compliance for the organization.

About the Sustainable Rice Platform (SRP)

The Sustainable Rice Platform e.V. (SRP) is a global multi‐stakeholder alliance comprising over 100 institutional members from the public, private, research, civil society and the financial sector. SRP is registered as a not-for-profit member association working to transform the global rice sector by improving smallholder livelihoods, reducing the social, environmental and climate footprint of rice production, and by offering the global rice market an assured supply of sustainably produced rice.

SRP works together with its members and partners to transform the global rice sector. SRP promotes resource-use efficiency and climate change resilience in rice systems (both on-farm and throughout value chains) and pursues voluntary market transformation initiatives by developing sustainable production standards, indicators, incentive mechanisms, and outreach mechanisms to boost wide-scale adoption of climate-smart, sustainable best practices among small farmers. Roles and responsibilities

The Finance and Administration Officer (Internship) will be responsible for supporting administrative functions and managing office operations, including financial tasks, within the organization.

Within this context, the Finance and Administration Officer (Internship) will also fulfil the following tasks:

  1. Administrative Support
  • Oversee daily office operations and ensure efficient functioning of the office environment.
  • Provide general administrative support, including scheduling meetings, coordinating events, and maintaining office supplies.
  • Assist in the preparation and management of travel arrangements and accommodations for staff and visitors.
  • Organize and maintain the filing system, ensuring that all documents and records are stored properly and easily accessible.
  • Maintain and update office records and documents as required.
  1. Communication and Coordination
  • Coordinate communication between different departments, partners, and stakeholders.
  • Assist in preparing reports, presentations, and documentation for meetings and events.
  • Manage the office's communication systems, including emails, phone calls, and other correspondence.
  1. Supervise the overall finance and administration functions of SRPS and support SRP e.V.
  • Manage all finance tasks including daily bookkeeping, payments and receipts processing.
  • Responsible for all financial reporting and submission to head office including the quarterly forecast and annual budget.
  • Manage the statutory accounts, annual returns and any other statutory filings including in relation to taxation.
  • Support royalty processing and distribution.
  1. Other Tasks
  • Support general office and personnel administration. 
  • Perform any other tasks or responsibilities as assigned by the Managing Director.

Required qualifications, competences and experience

  • Strong organizational and time management skills, with the ability to manage multiple tasks efficiently.
  • Good communication and interpersonal skills to work effectively with team members and external partners.  Problem-solving skills – to be able to identify and resolve financial issues as they arise.
  • Ability to work independently and handle administrative tasks with attention to detail.
  • Strong problem-solving skills and ability to handle tasks under pressure.
  • Time management skills – to ensure deadlines are met.

Reporting and working arrangements:

This full-time position will report to the Managing Director, SRP (Services) Co., Ltd. who, together with 6 staff members, are based at the SRP’s global Secretariat, located in the Sathorn area, Bangkok.
