Human Resources Assistant (4 months), Based in Bangkok (Independent Contractor)

Background/IRC Summary: 

The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises, helping to restore health, safety, education, economic wellbeing, and power to people devastated by conflict and disaster. Founded in 1933 at the call of Albert Einstein, the IRC is at work in over 40 countries and 26 U.S. cities helping people to survive, reclaim control of their future and strengthen their communities. The IRC has been operating in Thailand since 1975 and currently provides assistance to displaced persons in Tak, Kanchanaburi, Ratchaburi and Mae Hong Son provinces.

 

Job Overview/Summary:  

The HR Assistant will support HR team to ensure effective day-to-day implementation of Human Resources tasks related to timesheet, staff benefit’s paperwork, document controlling, maintain HR files and provide professional HR services to all IRC Thailand offices

 

RESPONSIBILITIES:

  • Clear all backlog timesheet and leave documents, follow up on all complete timesheets and follow up on timesheets requiring corrections.
  • Check timesheet and leave to ensure accuracy according to policy.
  • Maintain organized filing system for timesheets and leave request
  • Maintain up to date leave tracking in excel sheet.
  • Print documents, Make the necessary copies and ensure accurate distribution of the documents to the people concerned
  • Prepare, follow up Provident Fund application, update information and send it to Provident Fund Management Company
  • Maintain organized filling for Provident fund document.
  • Distribute Yearend report and provident fund statement to staffs.
  • Prepare Social Security applications.
  • Contact and deal with the insurance company to follow up insurance document. Submit staff claim reimbursement to Insurance Company and Distribute insurance card and claim documents to staffs
  • Destroy the unused documents using paper shredder.
  • Update and Keep track of incoming and outgoing letters
  • Represent IRC positively and professionally in both internal and external relations and situations
  • Keep HR information private and confidential at all times.

 

Deliverable:  

  • Complete filing all accurate Timesheet, Provident Fund, Social Security and Insurance documents.
  • Complete clearing unused documents
  • Complete set of documents for staff provident fund termination in each month.

 

JOB REQUIREMENTS:

Education:

  • Bachelor’s degree in human resources management, Business Administration, or related field

 

Work Experience:

  • 1 year’s work experience in Administrative or Human Resources.
  • Experience in document management is preferable.
  • Experience in a non-profit organization and international environment is preferable

 

Demonstrated skills:

  • Excellent Organized skills, deadline oriented, good team player
  • Attentive to details
  • Positive attitude and excellent service mind

 

Languages and Computer skills

  • Good communication skills, both written and spoken English
  • Computer proficient and demonstrate skills in record keeping

 

Duration of Work:  4 months

 

Term of payment:

The wage will be paid after HR Assistant submit timesheet at the end of each month, payment will be made by bank transfer within seven days after submission of timesheet.
