JOB DESCRIPTION

Title: Administrative Officer

Department: Accounting

Report to: Accounting Manager

Manager of: None


 

Job Summary: Administrative Officer is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness. This incumbent will work closely with Accounting Manager to providing office management services, able to provide information about the organization and donation including deliver to donors accurately and completely. In additional will also be responsible for IT coordinate with outsource and to control and maintenance inventory (merchandise and In-kind).

 

Main Functions:

1. Administration and IT Management:

  • General overall administration support to the office operation and IT tasks.

  • Cooperate with IT outsource.

  • Maintain and update organizational files and develop filing systems where appropriate.

  • Answer phones/ Official email, and respond to inquiries and/or coordinate to appropriate team member.

  • Cooperate with foreigner employee for visa and work permit.

  • Perform other administrative duties as required.

 

2. Accounting:

  • Work with Accounting Officer for responsibility about donation receipt and thank you letter management.

  • Oversee, maintain and order office supplies, equipment, and postage as necessary

  • Input data to Excel and Q-ERP programs

3. Inventory (Merchandise and In-kind):

  • Responsible for the inventory maintenance both in the office and storage room

  • Control and prepare documents for receiving and disbursing products

  • Input data to Excel and Q-ERP programs

  • Monthly stock checking and control expiration date of the products

 

Undertake and support other duties as requested by management.

 

Qualification:

  • BA is required.

  • Experience of similar job would be advantage.

  • Knowledge for IT.

  • Able to written and verbal communication in both Thai and English.

  • Be highly motivated and able to work both independently and in a team.

  • Willing to learn, pay attention to details and well organized.
