Department Description

The Screening and Intake Officer works within the Legal team, while also serving the AAT office as a frontline staff receiving incoming phone calls, emails and visits. The Legal team is in charge of providing legal services to refugees. The goal of legal services is to make sure refugees have access to justice and get necessary support for them to present their refugee claim under the status determination process. Refugees should be able to live safely while in the country of asylum.  Lastly, Asylum Access provides relevant information so that refugees have, and can make decisions, on the choices of long-term solutions.

 

Position Description

AAT’s Screening and Intake Officer (SIO) serves as the initial point of contact for refugees requesting assistance from the organization, including but not limited to refugee status determination related issues or protection concerns.   The SIO meets clients at the front desk, conducts intake assessments, and connects our clients with AAT services.  The SIO also provides clients with basic information regarding other service providers in Bangkok, including how to access services from those providers.  

 

Key Responsibilities

  • Act as the first point of contact for clients and guests arriving at AAT on all channels, e.g., email, phone, in person;

  • Assess the needs of each individual or family to determine appropriate actions and direct them to relevant  AAT sections;

  • Provide accurate information to prospective clients regarding AAT’s available services and, in cases where we cannot assist, advise potential alternative support services. 

  • Follow-up with clients as needed, which includes, but not limited to:

    • Providing information about UNHCR processes

    • Conducting initial screenings of clients identifying their needs and vulnerabilities

    • Scheduling appointments and make appropriate referral to relevant staff or external service providers

    • Requesting immediate response from AAT legal advisors

    • Accepting client inquiries regarding their case status

    • Checking clients in for previously scheduled appointments

    • Ensuring accurate documentation and record-keeping of all client information with AAT databases

  • Ensure administrative processes and tasks are completed to the necessary standards; 

  • Oversee a work environment in which high quality client services are delivered and provide admin support for all training sessions;

  • Other duties as assigned.

 

Additional Responsibilities

  • Refer inquiries via an AAT central email or phone call to relevant departments or staff for further action.

  • Monitor the security situation and concerns in the waiting area and inform Legal Solution Manager, Operation Coordinator, Deputy Director, or Executive Director, immediately if any suspicious issues or activities occurred

Reports to: Protection Programme Coordinator

Minimum Qualifications 

  • General knowledge of the situation of refugees and asylum seekers in Bangkok;

  • Proven experience working in a client focused role;

  • Excellent communication, interpersonal and teamwork skills and the ability to work in a culturally diverse environment;

  • Proven ability to multitask and cope with competing demands under tight deadlines, to identify priority activities and assignments and adjust priorities as required;

  • Excellent computer skills, with particular experience with Microsoft Office and Google Drive;

  • Excellent communication skills in English. 

 

Preferred Qualifications

  • An understanding of the UNHCR processes (RSD and resettlement);

  • Experience working in a refugee focused role is considered an asset;

  • Knowledge of the major refugee languages prevalent in Bangkok is considered an advantage. Knowledge of Thai is considered an asset.

 

Salary and Benefits

This is a part-time position that requires 2-3 days of work per week, with a one-year contract (with possibility of renewal). 

 

Hours and Location of Work

This position is based in our offices in Bangkok, Thailand. Office regular working hours are Monday to Friday from 9.00 a.m - 5 p.m. Due to COVID-19 situation in Thailand, The Screening and Intake Officer will work from home until the office announces otherwise.
