Organizational Context:

SEI is an independent international research institute, engaged in environment and development issues at local, national, regional and global policy levels for more than 20 years. Our goal is to bring about change for sustainable development by bridging science and policy. We do this by providing integrated analysis that supports decision makers. SEI works from seven main locations, with additional offices linked to these. Project teams generally span locations.

SEI is legally registered as a Foundation in Sweden, consisting of SEI Stockholm, SEI Asia, SEI Africa, SEI Oxford and SEI South America. SEI Tallinn, SEI US and SEI York are separate entities and associations under the SEI umbrella and governed by the same Board of Directors. 

SEI Asia (SEIA) or SEI’s Asia Centre is legally and administratively a department, affiliated abroad within the goals of the SEI Foundation registered in Stockholm. Financially, SEIA is a cost centre of SEI Foundation whichsupervises the finance of SEIA and produces annual audited financial reports covering SEIA.In Thailand, SEIA is registered as an international NGO with the Thailand International Cooperation Agency (TICA).

All the SEI employees shall promote the aims and objectives of SEI as set out in its Mission and in conformation with the SEI strategic plan.

The Finance and Administrative Assistant provides assistance to the Operations on both administration and financial accounting management of SEI Asia Centre.

The candidate will report directly to the Head of Operations of SEI Asia and will liaise with external service providers such as banks, consultants, and other relevant parties. Internally, he/she will interact with the Asia Centre colleagues.

Responsibilities:

  • Check staff expense claims and activity expenses claims e.g. correct supporting document completed, accurate amounts filled in, etc.
  • Record monthly accounting report in Excel format.
  • Reconcile partner financial reports.
  • Prepare monthly withholding tax certificates.
  • Interface with the banks, e.g. picking or depositing checks.
  • Interface with vendors about payment by checks, cash, bank deposit and follow-up for receipts.
  • Assist with end of year account closing and audit.
  • Provide assistance to the Asia Centre’s finance section in the administration of financial accounting management.
  • Welcoming guests to the office and coordinating (and in case the office assistant is absent).
  • Handling of mail and deliveries on the days that office assistant is out of the office.
  • Manage travel planning: flight booking, hotels, facilities, visa applications.
  • Arrange all related travel arrangements including cash advance and claims for the Asia Centre Director.
  • Managing work schedule and calendar for the Asia Centre Director.
  • Assist in preparation of materials and equipment for meetings held in the office.
  • Support for any additional administrative tasks as required.

Required Minimum Qualifications and Experience:

  • Degree in Accounting, Finance or related field and 2 years’ experience in a similar role, or 4 years’ of experience in similar role without a degree in Accounting or Finance.
  • Experience of book keeping practices and principles, knowledge of internal controls, general ledger, cash management and reconciliations.
  • Experience of working in multiple foreign currencies and understanding of foreign exchange rates. 

  • Knowledge of Microsoft Office, and in particular, MS Excel. 

  • Good written and verbal communication skills in both English and Thai.
  • Good organization and prioritisation skills to deliver results in agreed upon timelines.
  • Flexibility to adapt, positive attitude towards change, and a constructive approach to problem solving.

Desirable Qualifications:

  • Familiarity with development aid.
  • Experience in a research/non-profit organization.
  • Experience working in an international culturally diverse environment
