JOB PURPOSE:
To proactively support fundraising through the development of relationships with external stakeholders including Government Departments and the private sector.
To institute and manage robust administration of the Foundations activities ensuring compliance with internal and external policies and regulations.
Maximise efficiencies in the operation of the Foundation including its purchasing policy and the induction and training of Foundation staff.
KEY RESPONSIBILITIES:
- To Liaise with Government Departments including the District Offices on issues relating to compliance and fundraising.
- Play a key role in acquiring a new unrestricted / global fundraising permit.
- Develop and maintain robust administration processes (procurement and HR) within the function to ensure the efficient running of the Foundation.
- Support budget holders in the process and execution of procurement.
- To support The Head of Fundraising in the development of relationships with third parties and to support on contractual negotiations and documentation to fulfil fundraising objectives.
- Deal external stakeholders and respond in a timely manner
- Cooperate and communicate with other functions in OGB in order to accomplish the tasks with the cooperation for mutual effective results
- Solve day-to-day problem without upward referral and create the initiation when required based on the area of responsibilities
- Organize and prepare training session according to the function’s requirement i.e. logistics
- Keep up-to-date with internal and/or external activities
- Draw the analyzed information sources for management or group decision as required.
- Provide support and prepare documentation for the Oxfam Thailand Foundation procurement process, maintenance of petty cash float and office material and inventory control.
- File and maintain all documentation relating to the running of the Foundation
- Undertake any additional tasks assigned by Supervisor
SKILLS AND COMPENTENCE:
- Highly organized in a way that facilitates the efficient and transparent running of the organization
- Decisiveness and able to make transparent decisions in the best interest of the Foundation and to adapt decision making modes to the context and needs.
- The ability to engage with diverse stakeholders in a way that leads to increased impact for the organization
- Substantial experience in administrative role
- Minimum of two years experience in administration
- Be an excellent team player
- Excellent in communication skill in English both verbal and written
- Strong interpersonal skills with confidence, determination, resilience, initiative
- Willing and able to adapt priorities in order to respond to changing demands i.e. able to deputise for management, higher level staff and other functions
- Good in computer: Word, Excel and PowerPoint
