Position;        Finance and Administrative Officer

 

The Dulabhatorn Foundation (มูลนิธิดุลภาทร) is a non-religious, non-political, non-profit charity situated in Chiang Mai, Northern Thailand. Its focus is to provide support and resources for marginalized children and young people and their communities. With an emphasis on education, we support the development and financing of various projects. We welcome your involvement and help in making significant improvements to the lives of these children. The financial support given by those who donate as well as the time and effort given by our volunteers enable us to continue this work. The foundation is looking for Administrative Officer based in Chiang Mai, Thailand.

 

 

Responsibilities and Tasks:

The Finance and Administrative Office works in close collaboration with Dulabhatorn Foundation staff members to provide administrative, logistical and financial support to the team, and ensuring that administrative, financial, logistic and procurement activities are carried out in a manner consistent with the objectives of each project, and in compliance with the foundation regulations and policies. He/she will also be expected to provide high-quality day-to-day administrative support to the program team in planning.

 

Financial support

  • Preparing of financial statements, maintaining cash controls, supervising the payroll and personnel administration, purchasing, maintaining accounts payable, project/activity follow-up as well as to support and managing office operations.
  • Provide and organize employee files and records for all Foundation staffs, including household and gardening staff, in order to ensure accurate payment of salaries, benefits and allowances
  • Monitor the financial system in order to ensure that finances are maintained in an accurate and timely manner, and in a format required by the Foundation Treasurer and Auditor.
  • Maintain properly detailed records of all petty cash transaction
  • Check bank transactions daily. Be clear about all deposits and disbursements.

 

Logistic and Administrative support

  • Maintain the office policies and procedures, in according with the foundation policies and practices.
  • In coordination with Program Coordinator, organize office operations and procedures as well as supervise administrative services within the foundation, such as vehicle, building, air condition, swimming pool, and garden.
  • Maintain liaison to sustain suitable communication levels with beneficiaries and partners.
  • Act as primary liaison with Accountant, Auditor, Lawyer and other related service providers/outsources.
  • Organize and provide logistical support to all staffs as required
  • Prepare, organize and support meetings of the Executive Management Committee (EMC), and Board of Directors, as well as other ad hoc meetings.
  • Handling visa extension and work permit for expatriate and staff members.
  • Renew quota document for migrant workers.
  • Recruit and interview for new staff and review annul staff performance.

 

 

Qualifications:

The Finance and Administrative Officer must meet the following requirements:

  • At least Bachelor’s degree in accounting, public administration, business and/or other relevant field required.
  • At least minimum of 3 years of experience in administrative, financial, and logistical support or similar experiences with non-profit organizations is preferable.
  • Demonstrated experience in VISA extension and work permit for expatriates and migrants
  • Must be fluent in Thai language, and good command in English communication skills in both written and spoken.
  • Must have high proficiency with computer, especially Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • Have good presentation and communication skills.
  • Able to work on own initiative with minimum supervision.
  • Able to work under pressure and tight deadlines.
