Finance Assistant 1 position

 

Location: Bangkok, Thailand

Start Date: As soon as possible

Compensation: Competitive salary with benefits (Performance bonus, 21 days annual leave, health insurace and provident fund) 

Reports to: Finance manager

 

The Organization

ActionAid is an international organisation, working with over 25 million people in more than 40 countries for a world free from poverty and injustice. ActionAid Thailand (AAT) is part of the ActionAid International Federation and has been working with people and communities in Thailand for a decade addressing issues related to poverty,  human rights, education, and women’s and youth’s empowerment.

ActionAid Thailand is expanding its operations and looking for highly skills and motivated Thai nationals with good English communication skills to fill the following positions:

 

Finance assistant

The position is responsible for delivering assigned tasks and workplan to contribute to the implementation of ActionAid Thailand (AAT) financial management strategy to ensure that AAT overall strategic objectives are met, and that there is continual improvement in monitoring, control and reporting of expenditure of partner NGOs of funds given by ActionAid International (AAI).

 

Key Accountabilities / Responsibilities:

Cash and Finance Management

 Manage cash flow and ensure that cash is not misused

 Ensure that entire bank book statements are tallied with bank reconciliation statements as collected from respective banks

 Monitor bank balance to ensure that organization has adequate funds

 Monitor individual staff advance accounts to ensure advance accounts are cleared within finance policy

 Reconcile debtor/creditor monthly

 Manage payment of salary and related benefits including preparation and submission of social security, provident fund and related taxes to business and government agencies

 

System, Policy and procedures management 

 Adhere/Comply with approved organisational policies and procedures

 Implement all relevant policies and Implement all necessary policies and procedures to ensure that correct procedures are followed by all staff

 Report/Provide comments to FM on problems that does not comply with organisational system, procedures in own areas of work

 Implement forms/templates/procedures/chart of accounts in line with Financial Policy and law of land as well as donors’ requirements

 Update, maintain and backup the accounting software as per schedule and guidance from International Secretariat (IS) system team Job Description and Person Specification

 Reconcile the Balance Sheet items at the end of period

 Create and maintain filing systems (soft and hard) which can be easily accessed and referred to

 

Partnership management 

 Assist in training partners on related financial policies and procedures for partners as assigned

 Verify invoices and receipts against partner’s liquidation

 Reconcile advance to partners balances

 Process payment for fund request from partners

 Prepare monthly/quarterly financial reports for each partner

 Entry financial transactions into SUN and Vision

 Visit partners in the field to verify and support their budget tracking and provide onsite coaching as needed

Job Description of Finance Assistant 

 

Qualification & Experience

  • A Bachelor degree in Finance and Accounting management is required.
  • At least 2 years practice experience in accounting, preferably an NGO sector.
  • Understanding in the finance and accounting systems
  • Good command on using MS.Excel and also accounting software.
  • Knowledge of database and SUN system is an advantage.
