Position:           Human Resouces & Administrative Assistant  (one open position)

Handicap International (HI) seeks a Human Resouces & Administrative Assistant (HR&Admin. Assistant), based in Mae Sot, Tak province, with punctual travels to camps along Thailand – Burma Border.

HI is an international non-governmental, non-religious, non-political and non-profit making organization specialized in the field of disability. It works alongside people with disabilities, offering them assistance and supporting them in their efforts to become self-reliant.  Since its creation, the organization has set up programmes  in approximately 60 countries worldwide and intervened in many emergency situations. 

HI in Thailand is currently supporting projects along the Thailand - Burma border focusing on the following:

  • Rehabilitation Project: provision of functional rehabilitation services for persons with disabilities in 5 temporary shelters (Tak and Mae Hong Son provinces),
  • Disability and Social Inclusion Project: Social inclusion of People with Disabilities and mainstreaming disability into humanitarian services in 5 temporary shelters (Tak and Mae Hong Son provinces),
  • Growing Together Project: in 5 temporary shelters (Tak and Mae Hong Son provinces) focusing on enabling vulnerable children including children with disabilities, to develop their full potential on an equal basis with other children and acquire fundamental educational and social skills, as well as support to their family members and/or caregivers and,
  • Risk Education Project: raising awareness activities on the risk of mines and explosive remnants of war, which is implemented in all 9 temporary shelters (Tak, Mae Hong Son, Ratchaburi and Kanchanabui province).

 

 

Reponsibilities: HR & Admin. Assistant position:  Under the responsibility of the Human Resources & Administrative Manager,  HR & Admin. Assistant’s main resposibilities as following:

 

  1. Assist and collaborate to operation team in the HR & Administrative management of camp based staff (CBS) : Recruitment, Job Description, Employment & termination letter, HI regulations/ term & Condition of engagment CBS HI ID card for CBS, allowance payment, attendance sheet (all leave balance / follow up),  work certificate, CBS filing,  and make sure all related document are translated in to Burmese/Karen Language.

 

 

  1. Ensure an administrative support for the implementation of camp level activities in respect to the legal framework defined by Ministry of Interiors (MoI) ; exam: camp pass requests for staff and /or visitors, request to deliver materials into camps, request CBS out from camps for training courses, HI staff list monthly sending to MoI etc.

 

  1. Assist in the HR & Admin. management of National staff: Recruitment, staff HI ID card, social security fund, Group Health and Life Insurance, make sure all leave requests & leave balance are updated, ensure that national staff personnel document are updated (ID card, passports, address, etc.)

 

  1. Assist in the HR & Admin. for international staff such as visa, work permit, interpreting Thai – English.

 

  1. 5. Follow up information & assist in report preparing for Ministry of Interior and Ministry of Labor.

 

  1. Contribute to the smooth running of the communication flow ex: bill board updating, each staff info.box, needed info. in public drive, staff contact lists, reception visitors, telephone receiver, etc.

Profile required

  • Vocational certificate/diploma, or Bachelor degree on administration, or English language, or related field.
  • Knowledge & skills in administrative tasks.
  • Good skills in Typing and using computer and proficient using the Microsoft Word, Excel,  and mail merges; email and web searches.
  • Strong interpersonnel and communication skills.
  • Very good in Thai Language, and good in English.

 

Other qualifications

  • Well organized and ability to plan work accordingly, and working under pressure & multi cultural context.
  • At least one years working experience in NGOs/ INGOs and Karen/Burmsese speaking are added value.
