Position Summary
The Venue Officer is responsible for sourcing venues (at little to no cost) that meet the needs and ensure the efficiency and effectiveness of Direct Dialogue (DD) fundraising programme.
Key Duties
General and administrative
Research and acquire new venues suitable for Direct Dialogue fundraising.
Work on and update all proposals and presentations required to secure venues.
Meet with Marketing/Mall/Venue Managers to negotiate venues at little to no cost.
Conduct a direct dialogue demo to mall managers who wish to be briefed about the program.
Maintain ongoing and favourable relations with current venue contacts.
Send thank you letters and proposals asking for ongoing permits to contacts from previously utilized venues.
In conjunction with DD Coordinator, implement new strategies to attract and keep high performing venues.
Maintain a timely roster of confirmed venues.
Acquire all required gate passes and permits for DD Team Leaders to set up stands.
Communicate all venue requirements, hours, necessary stand materials, mall contact information etc. to DD Team Leaders.
Text or call Team Leaders every Wednesday (prior to TL’s making rosters) to confirm venue info with them.
Complete weekly progress reports for the Direct Dialogue Coordinator.
Ensure clear communication with Direct Dialogue Coordinator asking for assistance with necessary.
Monitor stock levels of materials required for the stands and request these from DD Coordinator when low.
Assist the DD Coordinator from time to time when or if possible and necessary.
Liaise with Public Outreach Manager on possible events we can fundraise at; communicate these to DD Coordinator for discussion/approval.
Other
Meet weekly with Team Leader and DD Coordinator to discuss venue progress reports.
Any other tasks relevant to the position scope as directed by the Direct Dialogue Coordinator.
Educational Background & Fundamental Qualifications
Bachelor's Degree in any fields
1-2 year experience in coordination field and event planning.
Good in communication and negotiation skills.
Good in Ms. Excel and Word.
Calm under pressure with a good service Mind and team player
Problem-Solving Skills
THINGS YOU SHOULD KNOW BEFORE APPLYING TO THIS POST
WORKING HOURS
Normal hours of work for full time Employee will be forty (40) per week or (5) days in a week, at 8 hours per day excluding an hour lunch break. This will be from Monday to Friday, between the hours of 8:30 am to 6: 30 pm. Ordinary hours of work may be varied as agreed between staff and the line managers.
LEAVE
A permanent employee will be entitled to the following leaves:
Annual Leave: 20 days
Sick Leave: 30 days
Parental Leave: As per labor laws and Greenpeace policy
Long Service Leave: 2 months paid leave after 5 years of continuous service
Compassionate leave: maximum of 5 days for the death of significant others
SALARY
In determining salary offer for this position, Greenpeace applies its Salary Grading Process, taking into consideration the job description and applicant’s previous experience, and the organization’s salary grade.
