Job Opening: Junior Programme Officer (STI Coordination)
Role: Support for Budget Management & Stakeholder Relations
Project Overview: This project facilitates Science, Technology, and Innovation (STI) coordinationbetween ASEAN and Japan. As a Junior Programme Officer, you will play a key role in supporting thedelivery of international symposiums, training programs, and regional research networks.
Level & Supervision: This is a Junior-level position. You will work directly under the supervision andguidance of Senior Project Staff and the Project Manager to ensure all deliverables are met accuratelyand on time.
Key Responsibilities
1. Financial & Administrative Support
- Budget Assistance: Assist senior staff in monitoring the use of funds by recipients and ensuring all expenditures align with project guidelines.
- Reporting Support: Help prepare draft financial reports and maintain organized documentation for audits and internal reviews.
- Data Management: Update and maintain records related to the seed-funding program and project activities.
2. Communication & Coordination Support
- Stakeholder Liaison: Provide administrative support for communication with partners across Japan and ASEAN (scheduling meetings, drafting emails, and distributing materials).
- Event Logistics: Support the planning and execution of events, including registration management and logistical coordination.
- Portal Maintenance: Assist the team in coordinating with external vendors to keep the knowledge-sharing platform updated.
3. Programme Assistance
- Documentation: Assist in creating presentations and progress reports for project meetings.
- M&E Coordination: Support the senior team in collecting data for Monitoring & Evaluation (M&E) through surveys and interviews with project participants.
Requirements (Junior Level)
- Education/Experience: A university degree (or equivalent) with 0–3 years of experience in administrative, clerical, or project support roles.
- Language Skills: * English: Business level (written and verbal) is essential for communication within the ASEAN region.
- Technical Skills: Proficiency in Microsoft Office (Excel for data entry, PowerPoint for basic presentations).
- Mindset: A proactive learner who is comfortable working under supervision.
- Strong attention to detail and organizational skill.
- Ability to work effectively in a multicultural team environment.
