TOR for Final End of Project Report – Graphic Designer(s)

Position – Graphic designer

 

1.Background

The IKI Sustainable Consumption and Production in Thailand and Cambodia Project (SCP) Phase II has been implemented since 2022 and will conclude in December 2026. The project works across the food value chain—production, businesses, and consumers—to advance sustainable consumption and production practices and contribute to food systems transformation. Over the course of the project, numerous milestones have been achieved in collaboration with government agencies, private sector partners, and community stakeholders.

 

As the project approaches completion, WWF will produce an end-of-project report to summarise key results, lessons learned, and remaining challenges. The report will serve as both a donor requirement and a knowledge product for partners who contributed to the project. Its purpose is to provide an accessible, visually engaging overview of achievements and insights from Phase II, supporting future dialogue and potential replication.

 

2.Objectives

The objective of this assignment is for a graphic designer to work closely with the report writer and the SCP team to transform the finalized written report into a professionally designed publication that follows WWF’s official communication and branding guidelines. The finalized content will be provided in an approved, consolidated version. The designer will be responsible for layout, visual structure, imagery placement, and the creation of basic infographics that support the narrative.

 

3.Scope of work

The graphic designer will be responsible for:

  • Formatting the end-of-project report (approximately 40 pages) using WWF’s official communication templates. The designer must study and strictly follow WWF brand guidelines, including fonts, colors, layout grid, and spacing.
  • Designing the overall layout and visual hierarchy of the report.
  • Selecting appropriate photos from a WWF-provided shortlist to support and illustrate the content.
  • Creating basic infographics and visual elements, where needed, to clarify complex information.
  • Optimizing all deliverables for both screen reading and printing.
  • Communicating and coordinating with the report writer where needed.

 

The graphic designer will not be responsible for:

  • Writing or editing the report content.
  • Sourcing images externally without prior approval from WWF.
  • Producing motion graphics, videos, or interactive digital publications (unless separately agreed).

 

4. Required Output Format 

Final deliverables must include:

  • A minimum of 2 reviews cycles (more or less if deemed appropriate)
  • A high-resolution PDF of the final report for physical distribution, including printing.
  • Printing guidelines for printing house.
  • A compressed PDF of the final report for online distribution.
  • Editable source files must be submitted as a complete InDesign package (.indd, .idml, links folder, fonts folder).
  • A designed cover page and section divider pages, as required.

 

Technical specifications:

  • Must follow the WWF report guidelines/formats (guideline and formatting tools will be provided)
  • Orientation: Portrait.
  • Size: A4 (unless otherwise requested by WWF).
  • If two-page spreads are used in the design, the final submitted PDF must be formatted for ease of reading (both pages visible same time)
  • Total length: maximum 35 pages (strict limit, including cover and annexes, unless otherwise agreed).

The designer(s) is expected to be joining the project in Phase 2 for better coordination with the rest of the team.

6.Qualifications

1. Technical Skills

  • Minimum 3 years of experience in report/eBook/publication design.
  • Demonstrated proficiency in Adobe InDesign and Adobe Illustrator (or equivalent professional design software).
  • Demonstrated experience in formatting or designing long-form publications (e.g., eBooks, reports, manuals).
  • Proven ability to work with strict branding and communication guidelines.

 

2. Sector & Content Experience

  • Experience working on publications in the sustainability, development, or non-profit sector is an advantage.

 

3. Collaboration & Project Management

  • Strong ability to collaborate with project teams and incorporate feedback from diverse stakeholders.
  • Capacity to manage timelines effectively and handle revisions as needed (at least 2 rounds of revisions expected).

 

4. Language

  • Fluency in English is required.
  • Thai language skills are preferred, as coordination will take place primarily with a Thai project team.

 

7. Intellectual Property & Deliverables

  •  WWF will hold full rights to all layouts, graphics, and outputs produced under this assignment.
  • The graphic designer must submit all editable source files and packaged assets upon completion.
  • All fonts used must be properly licensed; any associated font license limitations must be disclosed.
  • The designer may not reuse or republish material created under this assignment without prior written approval from WWF.
  • WWF will not accept any fonts or assets that require additional license fees unless approved in advance.

 

8. Image Use & Permissions

  • All images used in the report must come from WWF’s internal photo database or other sources approved by WWF.
  • WWF will pre-select images based on the narrative outline for use.
  • The designer will choose and place images from this shortlist to best match and support the report content.
  • No external stock images may be used unless explicitly approved in advance by WWF.
  • WWF will attempt to provide images as required, but if nothing can be found then the designer will be tasked with finding suitable stock images with appropriate license.
  • The AE will need to ensure these requirements are adhered to.

 

9. Payment Terms

(Indicative structure – to be confirmed in the contract)

  • 50% upon signing the contract and completion of the kick-off meeting.
  • 50% upon delivery of final report.

The final payment is contingent on full delivery of all agreed outputs, including editable files, in line with WWF’s quality standards.

 

10. Risk Management

  • Delays by WWF in providing final text, images, or feedback will result in an adjusted timeline, to be mutually agreed in writing.
  • Delays by the designer of more than 7 calendar days beyond agreed deadlines may give WWF the right to reconsider or terminate the contract.
  • Major deviations from WWF’s branding and layout guidelines must be corrected by the designer at no additional cost.

 

11. Application Requirements

  1. Company profile or individual CV.
  2. Portfolio of past design work, preferably including examples of sustainability or development-sector publications.
  3. Proposed timeline and budget for the assignment.

 

12.Additional information

WWF will provide:

  • The final report text
  • WWF will provide communication and report design guidelines (including templates, fonts, and branding rules).
  • A digital copy of the end of Phase I report for reference.
  • Access to WWF’s photo database and a curated shortlist of images.

 

13. Submission Deadline:

All applications must be submitted by 27/07/26. Shortlisted applicants will be contacted for further discussions and potential interviews.
