2025 Asia Inclusive and Responsible Business Forum

BACKGROUND

 

Asia is the fastest-growing region in the world, and the private sector clearly plays a critical role in developing Asian economies. Yet it is also a contributor to the compounding crises of increasing inequality, climate change, and environmental destruction. The private sector can, however, be a powerful force for change when people and the planet are put at the heart of business practices, eventually promoting sustainable development, and reducing inequalities.


To encourage adoption of Inclusive and Responsible Business (IRB), Oxfam in Asia organized the first ever Asia IRB Forum just under two years ago, in February 2023. This event brought together the private sector, civil society organizations (CSOs), and other key stakeholders for an exchange and learning journey towards business models that champion social and environmental sustainability and contribute to the realization of the Sustainable Development Goals (SDGs).

 

The 2023 Asia IRB Forum was well received and provided a space to listen, discuss, and brainstorm on opportunities and challenges. The dialogues and interaction between private sector companies of different sizes, from micro, small and medium-sized enterprises (MSMEs) to large multinational corporations (MNCs), and diverse civic actors, proved particularly valuable.

 

Next year, from 11 – 12 February 2025, Oxfam in Asia, in collaboration with Sal Forest and other affiliates, will once again hold the Asia IRB Forum in Bangkok, Thailand, with the support from the Dutch Ministry of Foreign Affairs through the ‘FAIR for ALL’ program. The 2025 Asia IRB Forum aims to continue the conversations and connections that began two years ago, and to keep up the momentum, as part of the longer-term drive for adoption of IRB. SCOPE OF WORK

 

The 2025 Asia IRB Forum is planned from Tuesday 11 – Wednesday 12 February 2025 to hold dialogues on the inclusive and responsible business practices and showcase the successful business models that are contributing to the global good. The event will include stand-up talks, plenary discussions, dialogues, presentations, parallel sessions, workshops, exhibition and marketplace to learn and share experiences for mutual capacity building. The Forum targets 120 participants from both Asia and beyond. Therefore, Oxfam is seeking the support of the service provider to manage the logistic and administrative matters for this event.

 

The service provider will provide services on a service contract basis whereby the agreed quote will be paid to the selected supplier/service provider. The payments will be released as deliverables are finalized and shared with the team.

All content in its final form will be the intellectual property of Oxfam and may not be used for other commercial purposes without permission. The service provider will work in close collaboration with Oxfam’s teams to ensure delivery of the required deliverables on pre-defined standards, using Oxfam’s branding and media guidelines
 

DELIVERABLES, ROLES & RESPONSIBILITIES


Oxfam set forth the below deliverables for the service provider to:

  • Manage the overall set-up of the event, exhibition and marketplace, and event rooms along with overall running of the programme to ensure the smooth flow of the event. This includes stage cue, audio and visual equipment management.
  • Develop at least 10 background panels for the Marketplace showcase. (The actual number will be confirmed at a later stage.)
  • Manage the presentations as per the flow of the event and ensure all equipment is set up and work properly e.g. Wi-Fi stability, computers in all break-out rooms, microphone, sound and lighting system, projectors/TV, and printing services throughout the meeting.
  • Provide support in guiding participants to different areas for activities, including onsite registration, break-out sessions and provide coordinating support as required.
  • Produce materials and souvenirs for the event: the event banner, one photo backdrop, folders, hand-outs, event materials, stickers, souvenirs for participants and speakers. The event Corporate Identity (CI) and design will be provided by the project team.  
  • Manage the online zoom platform for the online speakers/participants to participate during the panel discussions, and streaming of the plenary session (if needed).
  • The ability to manage and produce short videos of the forum would be an advantage. (Separate budget from the event organizing tasks will be provided upon further detailed discussion.) 

 

PAYMENT SCHEDULE


The payment to the selected service provider/firm would be made as per the below timeline.

  • 50% upon signing of the contract.
  • 50% upon the completion of deliverables.

 

All the logistics, i.e. boarding and lodging of the event organizer team will be borne by the service provider/firm.

 

The total budget for this service contract is EUR 6,500 (exclusive of video production).

 

EXPERTISE of the SERVICE PROVIDER

 

The applicant is required to fulfil the following criteria:

 

  • A strong team of professionals that can maintain discipline and guide the participants throughout the event.
  • Proven experience of providing event organizing and IT support to technical issues troubleshooting for both onsite and online setting.
  • Ability to follow the timeline and rigorous communication with the project team.
  • Proven experience of successful work with international organizations.
  • A strong coordination skill.

 

The service provider must be willing to receive continuous feedback and incorporate it in the products.

 

 

PROCEDURE FOR SUBMISSION


Interested candidates should submit:

 

  • Technical and Financial proposal (including the applicant’s legal and taxpayer status)
  • Samples of previous works relevant to the proposed tasks.
  • Please include all attachments in the email and do not use a cloud storage service.
  • CV/company profile
  • Detailed financial offer/costs with requested terms of payment. It is expected that the financial offer includes a primary budget breakdown of costs (for example fees, taxes, etc.)
