EIE Project Assistant Workforce

Duration 1st October to 20th of December 2024 (10 days per month)

Background

Save the Children (SC) started working in Thailand in 1979, focusing on child protection, child rights governance, education, livelihoods, and humanitarian responses for children and youth across the country. Today, our programs span a range of work, including but not limited to; Increasing access to education for migrant and refugee children; career skills training and peacebuilding for youth in the Deep South; Supporting and building capacity of women-led grassroots climate organizations; tackling cyberbullying and other online harms to children and youth and supporting LGBITQ+children and youth.

To ensure the right of refugee children from Myanmar along the Thailand-Myanmar border is maintained SC has led the refugee education project since 2013. The key objective of the project is to ensure children’s right to learn and be protected is maintained. As part of this effort, the refugee education project seeks to engage a Project Assistant Workforce who will play a crucial role in providing administrative support. This position encompasses a variety of tasks aimed at ensuring the smooth and efficient operation of the project, including logistical management, translation, and documentation.

The EIE Project Assistant Workforce is hired to provide administrative support to the refugee education project. This workforce will support the refugee education project by preparing and requesting camp passes for participants of the project interventions and staff, translating the quarterly MOI report into Thai, preparing project purchase requests, checking and updating the project stocks, and preparing the MOI proposal.

Objectives and Deliverables

The Project Assistance Workforce will deliver on the following objectives:

  1. Prepare and request camp pass for project participants, staff, and visitors.
  2. Translate the quarterly Ministry of Interior (MOI)report into Thai
  3. Prepare project purchase request in consultation with the project team
  4. Check and update the project stocks
  5. Prepare 2025 MOI proposal

Prepare and request camp pass for project participants, staff, and visitors.

  • Collect documents and photos from Resident Teacher Trainers (RTTs) and Training In-charge
  • Collect documents and required information from staff for camp pass requests including green camp pass
  • Collect documents and required information from visitors
  • Prepare camp pass request forms for RTTs , Training In-charge and staff
  • Prepare document for local camp pass
  • Follow up with the local authority and collect the approved camp pass for the participants, staff, and visitors

 

  • Camp pass for 10 days ToT is submitted for Central MOI approval by the end of October 2024
  • Approved camp pass for visitors and staff is received without any delay

Translate the quarterly MOI report into Thai

  • Translate quarterly MOI report into Thai
  • 2024 quarter 3 and quarter 4 MOI reports are translated into Thai

Prepare project purchase requests in consultation with the project team s

  • Consult the project team for the materials required
  • Prepare purchase request
  • Request purchase request approval
  • Transportation, accommodation, venue, stationary, and meals are purchased on time.
  • 2025 planner is printed by the end of November 2024

Check and update the project stocks

  • Check the materials
  • Arrange the materials
  • Update materials records
  • Divide and label the materials for each activities.
  • Project materials are proper stocked and ready to be used
  • Materials records are updated

Prepare 2025 MOI proposal

  • Collect information required for MOI proposal
  • Follow the guideline and template and prepare 2025 MOI proposal
  • Seek feedback for further improvement from Mae Sot-Senior Field Coordinator

2025 MOI proposal submitted by October 8th 2024.

Management

This position will report to Refugee Education and Protection Program Coordinator

Mae Sot, Tak Province, Thailand

Time frame

Duration 1st October to 20th December 2024 (10 days per month)

Payment

Daily rate of 1,500 baht per day. Perdiem and accommodation costs are charged as associated cost. It is charged as the actual cost.  Payment will be made upon the timesheet submission. The workforce will use effort reporting (timesheet) to report time on the tasks. The expected scope of work is from 1st October to 20th December 2024 (10 days per month)

Qualification:

  1. Ability to read and write Thai and English
  2. Experience working with INGOs
  3. Demonstrates a strong commitment to providing high-quality support and assistance to both internal and external stakeholders.
