Background

Norwegian People’s Aid (NPA) was founded in 1939 as the labour movement's humanitarian solidarity organisation with approximately 14000 members in Norway and a total of 2500 employees working in more than 30 countries around the world. NPA’s core areas are International Development, Humanitarian Assistance, Humanitarian Mine Action and Disarmament, First Aid and Rescue Services and International Solidarity, Anti-Racism & Inclusion. In all our interventions, we continuously work to reduce our climate- and environmental impact.

NPA works with local partner organisations in humanitarian response, and uses its own operational capacity as a leading mine action operator to provide protection against explosive weapons. Where there are few viable local alternatives for urgent response, we also provide direct humanitarian assistance.

We are seeking a highly organized and efficient  Logistics and Administration Officer to join our team. The Logistics and Administration Officer will play a crucial role in ensuring the smooth operation of our office and providing administrative support to various functions. The ideal candidate will have excellent communication skills, attention to detail, and a strong sense of professionalism.

Main Responsibilities:

Administrations

  • Manage petty cash according to established procedures, ensuring accurate records and appropriate reimbursement.
  • Handle printing, copying, scanning, filing, and uploading of documents, both in electronic and physical folders, ensuring proper organization and easy accessibility.
  • Support in arranging meetings, trainings, and workshops, including scheduling, venue coordination, and logistical arrangements.
  • Prepare documentation for procurements, payments, and vouchers, ensuring compliance with relevant policies and procedures.
  • Provide general support to daily administrative operations, ensuring smooth functioning of the office.
  • Support implementation and maintenance of office administration systems.
  • Collaborate with internet service providers and IT vendors to ensure regular maintenance and problem-solving.
  • Ensure that all shared equipments, furnitures, and fittings are kept in good working order and replaced when needed.

Logistics

  • Coordinate with the Logistics Manager to manage supply requests.
  • Contact and follow up with suppliers and service providers, including ordering office supplies and managing inventory.
  • Assist with the procurement and maintenance of office supplies and equipment.
  • Manage the procurement process for local purchases, including obtaining and reviewing quotations, and completing the purchase.
  • Procure office supplies in compliance with financial management regulations.
  • Conduct routine checks of office equipment and supplies.

Perform any other necessary duties within limited time period when requested by the immediate supervisor and/or Country Director. The tasks and responsibilities might be changed during the contract period due to operational needs. This will be discussed with the employee and will be revised accordingly.

Required qualifications:

  • Thai Nationality Only.
  • Bachelor's degree in Business Administration, HR Management or related field is required.
  • Valid Driving License for a car and motorcycle
  • Service-minded with good practical skills, demonstrating a proactive and helpful attitude.
  • Excellent communication skills and proficiency in English, both written and verbal.
  • Good knowledge of Microsoft Office applications (Outlook, Excel, and Word) and internet/intranet usage.

Experience:

  • The applicant must have minimum 5 years of Office Administration, IT and Procurement experience.
  • Minimum 2 years’ experience in off road driving.
  • Ability to act independently to identify and analyze problems and recommend effective solutions.
  • Ability to motivate and engage your team to provide the best possible support to the organisation and its partners.
  • Flexibility and positive attitude with a good sense of humour!
  • The position involves occasional travel to the field, so you need to be fit for travel and the different conditions in the field.
