The IRC has been operating in Thailand since 1975 and currently provides assistance to displaced persons in Tak, Kanchanaburi, Ratchaburi and Mae Hong Son provinces
Job Overview/Summary:
Under the direct supervision of Human Resources and Administration Manager, the Operations Assistant will be responsible for the provision of efficient, high-quality operations and program support to IRC staff in Tak Province and provides administrative support concerning Camp Based Assistant (CBA) to help programs and activities run smoothly.
Major Responsibilities:
Camp Based Assistant and Letter of Understanding (LoU) Management
• Follow up with program hiring manager on the completed documents in preparation of the Letter of Understanding (LoU) for Camp Based Assistants (CBAs) prior to hiring
• Check that documents are certified by the authorized signatory.
• Check qualifications of CBA applicants according to the criteria.
• Conduct Anti-Terrorism Check for CBA under the IRC System
• Prepare CBA LoU for new hire and annual renewal with accurate data.
• Be the focal point to communicate, provide information about Camp Based Assistant guideline, and conduct training related to CBA guideline
• Coordinate with Camp-based Assistant Administrative for all related documents and maintain filing.
• Track submissions of leave requests for Camp-based Assistants and coordinate with Finance for the payment of stipends on monthly basis.
• Make IRC CBA card for new hire and ensure IRC CBA card return to IRC for leaving CBA.
• Update and maintain CBA database in excel sheet with accurate data.
Other responsibilities
• Assist Programs and Operations to raise the purchase request such as Feeding for patient, Oxygen for medical use, and Phonecard for CBA use, and etc.
• Prepare payment request for all work-related
• Build good relationships with staff and Camp Based Assistant
• Maintain all CBA files, folders, and related documents in proper condition
• Always keep CBA information private and confidential
• Perform other duties as assigned by Supervisor.
Key Working Relationships:
Position Reports to: Human Resources and Administration Officer Manager
Other Internal and/or external contacts:
Internal: HR Officer, Operations and Programs staff, and CBA focal point in Mae La, Umpiem, and Nupo
External: Government officials, Agency, Vendor, Landlord and etc.
Job Requirements:
Education: Bachelor’s degree or Diploma in Management or related field
Work Experience:
• Minimum 1 year experience in Administrative or relevant field.
• Experience in a non-profit organization and international environment is preferable.
Demonstrated Skills and Competencies:
• Good organizational skills, good at multi-tasking, prioritization, and flexible.
• Ability to communicate clearly both verbally and in writing.
• Able to work under pressure with minimum supervision.
• Good time and people management skill.
• Good computer proficiency of Microsoft Excel, Word, and PowerPoint.
• Positive attitude, Excellent and team-oriented person
• Ability to work on regular deadlines and adapt to changing situations
Language Skills:
• Good command of written and spoken Thai and English. Burmese or Karen is a plus
• Computer proficient and demonstrate skills in database management and record keeping
Working Environment:
The position will be based in Mae Sot District, Tak Province with some time travel to Mae La, Umpiem and Nupo Temporary Shelter in Tak.
