Public Fundraising and Communications Manager
ActionAid is an international organization, working with over 25 million people in more than 40 countries for a world free from poverty and injustice. ActionAid Thailand (AAT) is part of the ActionAid International Federation and has been working with people and communities in Thailand for a decade addressing issues related to poverty, human rights, education, and women’s and youth’s empowerment.
Location: Head office, Bangkok, with travel to the fields and internationally as required
Role Overview:
ActionAid Thailand (AAT) has been working in Education, Youth, Women’s Rights and Land rights since 2001 with a mission to empower people living in poverty, exclusion and injustice community
To help realise this mission, the Public Fundraising and Communications Manager is responsible for driving the development and implementation of ActionAid Thailand’s (AAT) Public Fundraising Strategy, enabling AAT to have a more diversified income base and to maximise unrestricted income returns. With a key focus on regular giving and growing the base of national supporters, this role will prioritise testing and scaling new channels, such as 2 step marketing (digital lead collection with telemarketing conversion), in-house face to face fundraising and other new innovative channels. This is in addition to maintaining and optimising current face to face outsource agencies.
This position is also responsible for overseeing communication activities designed to contribute to a cohesive ActionAid identity, profile & reputation, demonstrating AAT’s work and impact in Thailand to its national base of supporters, other funders and members of the public.
AAT is part of a federation of over 40 member countries. This role will represent AA Thailand on fundraising to its international peers and be a conduit with ActionAid UK, a key funder to AAT’s current fundraising program.
Responsibilities:
This role influences public fundraising and communication overall performance and outcomes directly and clearly controls public fundraising and communications plan and activity for AAT
Organisational and Corporate Development/Representation
- Be a member of the Senior Management Team (SMT), participate in regular SMT meetings to maintain an awareness of public fundraising matters relevant to the SMT and ensure that reports and information in public fundraising interest are brought to the attention of SMT members for effective decision making
- Maintain an effective working relationship with all other SMT members to ensure that there is effective coordination of all activities in support of organisation objectives
- Represent AAT to provide inputs to AAI public fundraising related activities as and when required, including participation on task forces, training courses and conferences and contribute towards the implementation of the Global Fundraising Framework for AAI
- Represent AAT to attend meetings and networking to gather, share and learn from other CSO experiences with donors, scoping for funding opportunities and periodically report on donor-scoping activities
Strategy Development and Implementation
- Implement and monitor AAT’s public fundraising strategy, aligned to the Country Strategy Paper and UK Public fundraising Investment, to significantly increase income across a range of Public funding streams, with a focus on raising income from Thai supporters and donors through regular giving
- Be a key contact point and conduit with ActionAid UK (AAUK), a key funder of AAT’s fundraising programme, including implementing fundraising program in line with funding agreement and completing appropriate reporting to AAT SMT, AAUK and AAI as required
- Review and engage AAT program/projects plan to ensure the alignment with Public fundraising priorities, strategies and plans
- Monitor all activities against targets and key performance indicators (e.g. ROI, attrition rates)
- Produce annual and long-term plans budgets for income and expenditure and monitor results against them, advising management of any significant deviations
- Provide regular reporting on the progress against Public fundraising plan and budget
- Identify and develop opportunities to increase income and improve cost efficiency on an ongoing basis
Public Fundraising
- Execute and optimise an effective Face-to-Face fundraising program as a key channel of acqusition, including contract negotiation, training of staff and overall monitoring to ensure key targets are achieved
- Develop and pilot new channels including two-step marketing (digital lead collection with telemarketing conversion), and in-house face to face fundraising
- Roll out and scale up sucessful pilots, including two-step marketing and in-house F2F
- Develop strategy and implement Merchandise products sales
- Ensure systems are in smooth operation to manage donor relations, including supporter services, financial processing, financial reporting and a marketing database
- Develop and maintain appropriate fundraising products to ensure sustained regular giving, with the aim of increasing income from Thai supporters
- Manage online fundraising
- Ensure constant monitoring and refine a supporter retention strategy to build lasting relationships with financial supporters
- Maximize the use of ActionAid’s worldwide fundraising resources to enable AAT’s fundraising program to be developed as cost effectively as possible
- Share skills and develop relationships with International Fundraising Team and Fundraising Directors of ActionAid Affiliates, Associates and ActionAid UK
Communications
- Work with AAT SMT, fundraising, communications, programme and policy teams to build a well-recognized brand for AAT in Thailand that enables us to increase income and influence
- Raise Brand Awareness among donors, potential donors, general public and stake holders through ActionAid’s fundraising activities
- Work with communications staff in Programme Team and other relevant staff to develop a communications strategy that will guide AAT in its external relations.
- Work with AAI’s communications team and the Federation’s communications network to raise AA’s profile and collaborate of multi-country initiatives.
People Management
- Ensure an enabling environment for staff performance, recognition and reward of fundraising function to encourage staff productivity, innovation and performance (e.g. facilities, equipment, duty facilitation, team building etc.)
- Lead and manage the staff of the Public Fund-Raising Team /function to ensure that they are appropriately motivated and trained to carry out their responsibilities to the required standards
- Recruit staff members under supervision
- Provide induction, training, coaching, mentoring and advice to supervised staff to ensure that they understand and carry out their responsibilities effectively
- Assign performance objectives and conduct comprehensive performance appraisal of supervised staff and provide/obtain feedback when necessary to supervised staff
- Work with HR Function to identify training needs and development opportunities for supervised staff
- Provide training to all staff in AAT in fundraising related policy, techniques, initiatives
- Develop and manage relationships and contracts with external suppliers
System, Policies and Procedures Management
- Ensure systems are in smooth operation and update the system regularly to manage donor relations, including supporter services, financial processing, financial reporting and a marketing database
- Develop and ensure Legal requirement and reporting of public Fund-Raising License
- Participate in the review and update of AAT policies and procedures at country level and advise the SMT on the potential implications of the new system, policies and procedures
- Implement all necessary policies and procedures to ensure that correct procedures are followed by the staff
- Adhere/Comply with approved organisational policies and procedures
Budgeting and Planning
- Contribute to the development, review and consolidation of country program plans and budgets; and the annual national resource allocation
- Develop, monitor, and update the annual budget for Public fundraising and communications function to ensure sound budget management and that the function has all the resources required to meet its objectives within agreed financial parameters
Workplan
Develop, monitor, review and update the Public fundraising and related communications activity work plan to ensure that the organisation attains its objectives as cost-effectively and efficiently as possible
Financial management
Control the expenditure and the disbursement of resources of the budget in charge to be complied with financial policy
Monitoring, evaluation and reporting
- Keep up-to-date Public fundraising data to provide regular reports and analysis to the Country Director and SMT to facilitate continuous improvement of AAT
- Implement and utilize a secure data management system that stores information about current and prospective donors to enable segmented retrieval and analysis on current and prospective donors using characteristics such as demographics, interests, values, giving history, relationships, and linkages to the organisation, in order to select potential donors for particular projects and fundraising programmes.
- Monitor and report on fund flow, utilization and reporting to ensure that monthly track trends in contemporary fundraising and sponsorship management practices are provided to CD and management team.
Issue Resolutions, Crisis/Risk Management
Maintain an awareness of any possible crisis or risk to the public fundraising and donor relations and develop plans that will provide for such contingencies
Qualification & Experience:
- A bachelor’s degree in Business, Marketing, Development studies, Social sciences, Communications or relevant field from a recognized institution
- A relevant post graduate qualification is an added advantage.
- At least 5 years relevant experience, of which three years must be in a senior management position from a reputable organization, preferably an NGO.
- Proven track records/successful Public fundraising experience with annual accomplishment of (similar budget size of country
- Experience in managing funding from a diverse range of public sources including Individual F2F, merchandise, Digital and Tele-marketing
- Experience in piloting and scaling up 2-step marketing channels and/or in-house F2F from inception would be highly desirable
- Experience in managing external suppliers and contracts
- Proficient in forecasting and budgeting regular giving income and comprehensive analytical skills to review and report on key fundraising metrics such as sign-up rates, attrition rates etc
- Experience in developing and/or implementing communications plans
- High proficiency in written and verbal communication in English and Thai (both for internal communications and public facing communications)
Essential Knowledge
- Familiar with development and human rights issues in Thailand
- Competent working knowledge of public fundraising/individual giving
- Good knowledge of outsource agencies in the areas of Telemarketing and Lead Generation/Digital Marketing to engage in 2-step marketing, including contract negotiation and optimisation
- Good understanding of Thai media and popular culture and giving culture
- Deep understanding of reporting requirements of individual giving, Tele/Digital marketing
- Extensive knowledge of the principles, practices and techniques of oral and written communications.
- Knowledge on legal requirement and reporting system of public Fundraising License
