TERM OF REFERENCE: Human Resources Assistant (3 months)

 

Background/IRC Summary:  The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises, helping to restore health, safety, education, economic wellbeing, and power to people devastated by conflict and disaster. Founded in 1933 at the call of Albert Einstein, the IRC is at work in over 40 countries and 26 U.S. cities helping people to survive, reclaim control of their future and strengthen their communities. The IRC has been operating in Thailand since 1975 and currently provides assistance to displaced persons in Tak, Kanchanaburi, Ratchaburi and Mae Hong Son provinces

 

Job Overview/Summary:  To work with Human Resources team in Bangkok and field office on preparing documents for visa, work permit , camp pass staff ,tracking timesheet and leave request and supporting on HR tasks for both Bangkok and field offices.

 

Visas & Work Permits

  • Prepare invitation letters for non-immigrant visa applications for newly hired staff, IRC visitors and other individuals.
  • Prepare visa applications and escort expatriates to the Thai Immigration Office for visa extensions.
  • Maintain updated expatriate/dependents’ visa status and related information.
  • Prepare visa & work permit application requests to Ministry of Interior (MOI).
  • Prepare work permit documents for new applications/renewals and escort expatriates to Ministry of Labor (MOL).

 

Camp Pass

Prepare monthly camp pass applications for staffs, visitors, donor and other individuals who plan to work and visit refugee camps along the Thailand-Myanmar border.

 

Staff Timesheet/Leave Tracking

  • Follow up on all complete timesheets and maintain records of leave taken in system and Excel spreadsheets
  • Maintain organized filing system. Follow up on timesheets requiring corrections.
  • Prepare the Leave reports as per request by relevant Directors, HR Manager and HR Coordinator/Lead

 

Report to: Human Resources Coordinator and Human Resources Manager

Duration of Work:   3 months

 

Job Requirements:

Education:

  • Bachelor degree in related field

 

Work Experience:

  • 1 year’ work experience in Human Resources or Administrative work
  • Excellent organized skills, deadline oriented, good team player and can work well under pressure

 

Demonstrated skills:

  • Excellent organized skills, deadline oriented, good team player and can work well under pressure
  • Attentive to details, Positive attitude and excellent service mind

 

Languages and computer skills

  • Good communication skills, both written and oral English
  • Computer proficient and demonstrate skills in database management and record keeping

 

Terms of payment:   

Consultant fee will be paid after consultant submit timesheet at the end of each month.

Payment will be made by bank transfer to the consultant within seven (7) days after submission of the timesheet.
