Major roles and responsibilities of the Administrative and Financial Officer include the following;
Finance and Accounting Duties
Review all the bills and prepare cash/bank, payment/receipt vouchers and ensure that adequate supporting documents are attached to the voucher
Obtain cash/bank payment voucher approval from authorized signatories before making any kind of payment
Enter transactions into CARE finance system
Ensure that all the bills are paid on time
Review staff reimbursements and prepare necessary payment vouchers.
Calculate personal telephone call and recover money from the concern staff
Prepare staff advance statement and follow up advance settlement with the staff. Ensure that there is no long outstanding balance
Calculate withholding tax and issue withholding tax certificate to supplier
Carry out other duties related to Finance functions as maybe assigned by the supervisor
Administrative Duties
Handle travel arrangement and legal document such as Visa application, Flight booking, Visa Renewal, Re-Entry and Work Permit Renewal
Organize workshops, group meetings, general meetings including contacts meeting room arrangement, technical equipment facilitation, Documentation, logistical and support services for meetings
Prepare purchase request for office and ensure that purchases are made according to CARE procurement policy; verify specifications of purchase order; look for quotation or contact vendors to obtain price and availability of information.
Manage filing system and paper work
Handle daily office activities to ensure the office run smoothly
Carry out other duties related to Administrative functions as maybe assigned by the supervisor.
Qualification:
Thai national
Bachelor’s degree in Accounting, Finance, Business Management, Business Administration or related field
Minimum of 2 years working experience in similar capacity, preferably with a non-profit organization
Proficiency in Microsoft office applications including MS Excel
Strong organizational skills
Able to speak, read, write and understand English
Knowledgeable of the Oracle System are advantage
