DAI/Thailand seeks Administration Assistant position to support a U.S. Agency for International Development (USAID)-funded Climate Change Adaptation project covering communities within the Mekong River Basin. The project aims to strengthen human and institutional capacity to develop and implement climate change adaptation plans and strategies; strengthen policies, tools, methodologies, and practices for ecosystem services valuation and climate resiliency; demonstrate and scale-up model actions for integrated approaches to climate change adaptation, and sustain regional learning networks to share and replicate best practices.
The Administrative Assistant is a key player in the smooth administrative operations of the project office. The Administrative Assistant will be based in Bangkok and report directly to the Office Manager. Specific tasks include, but are not limited, to the following:
Communications Management/Reception –
Receive, record and distribute in-coming telephone calls, faxes, mail;
Send and track faxes, DHL packages and other project documents;
Receive guests;
Information Management
Maintain office filing systems and maintain library resources
Manage the uploading of documents in project database (e.g. Inventory, leave trackers, contact of suppliers/partners)
Meeting, Travel, and Schedule Management
Help manage the staff calendar in project database; schedule and prepare materials for meetings ; and assist with travel arrangements as required
Financial Management
Maintain the petty cash and petty cash log
Prepare Request for Payments
Conference and Workshop Coordination
Work with Sr. Administrator for Field and Logistics as needed to coordinate conferences, workshops and training sessions.
Procurement
Initiate purchase project equipment and supplies
Solicit vendor quotations, both verbal and written
Office Management
Maintain and ensure adequate stock of stationary and office supplies.
Responsible for the maintenance of office machinery
Deliver project documents and supplies to USAID, the US Embassy and other locations;
Assist in photocopying finance documents, final reports, and other documents;
Other duties as requested in line with the general scope of work.
Qualifications Required: 3-5 years’ experience in administrative duties. Proven skills in team work and group dynamics. A problem solver, with a service mind. Excellent communication skills in Thai and English. Experience working for donor-funded projects required; USAID experience strongly preferred.
Candidates with credentials in the above areas, especially candidates with strong experience in supporting USAID programs are encouraged to apply. Strong English language skills highly preferred.
