Job Summary / Responsibilities:
Assist proposal teams by coordinating components of the proposal process, assisting with proposal tasks that result in responsive, competitive proposals that are submitted to funders (solicited and unsolicited).
KEY RESPONSIBILITIES:
- Assist with detailed and strategic analysis of solicitations, instructions and other pre-proposal (capture) and proposal related information.
- Assist with the coordination and oversight for proposal teams, comprised of FHI 360 staff and individuals representing other organizations.
- Organize and ensure that all supporting documents required by the funder are collected and collated into the final proposal document. Interface with the grants and contracts office to ensure all necessary documents are completed and included in the cost proposal.
- Coordinate with FHI 360 staff and partner organizations to ensure all required documents are completed and submitted based on the established timeline.
- Develop and utilize tools, templates and work processes that result in streamlined and efficient proposal teamwork.
- Provide effective and ongoing communication among FHI 360, external partners and collaborators throughout the proposal development process.
- Assist with proofreading proposals, related correspondence and other documents.
- Contribute to the business development’s strategic plans, work plans and budget processes.
- Perform other duties as assigned.
CONTRIBUTION:
- Effectively coordinate with other contributors in the development, packaging and timely dispatch of proposals to potential donors and ensure proactive and timely follow-up after submission;
- Take the lead in drafting corporate capability statements which effectively respond to the RFA requirements and which are concise, well written, comprehensive and “sell” FHI 360 effectively.
- Ensure timely provision of information related to external relations and Business Development to those who need it so that the process can meet deadlines and run smoothly.
- Edit, compile and proofread the documents of other contributors to proposals and other Business Development documents and ensure that these are structurally sound and free of inconsistencies and errors.
- Prepare short and well-written briefing notes based on research and meetings with potential donors and partners.
- Tracking upcoming RFAs/RFPs and weekly checking donor website for details of these.
- Maintenance of a comprehensive filing system of hard and soft copies of proposals and distributing these to individuals as required.
TYPE AND NATURE OF CONTACTS:
- Conduct routine coordination with FHI 360 employees and consultants, partners/collaborators in APRO, Country Offices, HQ.
- Represent the business development department as well as the APRO team as appropriate at FHI 360 meetings, professional meetings and conferences.
- Assist in maintaining relationships with funders, relevant government agencies, multinational, and other non-governmental organizations.
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:
Office working environment; ability to travel domestically and internationally.
Education/Experience:
- Capable of performing responsibilities of an Associate Business Development Officer.
- MS/MA in related field, and 3 - 5 years relevant experience in proposal writing and development, or experience in other professional writing and marketing function;
- or BS/BA in technical writing or related field, and 5 - 7 years relevant experience in proposal writing and development, or experience in other professional writing and marketing function; or an equivalent combination of education and experience.
