Background/IRC Summary: The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises, helping to restore health, safety, education, economic wellbeing, and power to people devastated by conflict and disaster. Founded in 1933 at the call of Albert Einstein, the IRC is at work in over 40 countries and 26 U.S. cities helping people to survive, reclaim control of their future and strengthen their communities. The IRC has been operating in Thailand since 1975 and currently provides assistance to displaced persons in Tak, Kanchanaburi, Ratchaburi and Mae Hong Son provinces
Job Overview/Summary: Managing overall day-to-day office Operations and administration, make sure all services to staff, visitor, and corresponsive with Operations team. To ensure smooth running to Operation department and perfectly arranged traveller. Including preparing all necessary document relative payment.
Major Responsibilities:

Travelling
- Book and manage accommodation for staff and visitor coming to Tak following IRC Thailand Travel Procedure.
- Arrange transportation by coordinate with traveler, agent and logistics team.
- Keep maintaining information and update about route transportation, air-line opening ticket and hotel.
- Prepare weekly update staff/ visitors’ travelling and share to concern staff every Friday.
Administrative/ Operations:
- Welcome visitor, vendor and staff as receptionist
- Be a focal point to manage office rent/ staff housing and keep maintain the record of lease agreements, deposit, payment etc. (including lease agreement update/ renewal/ contract details)
- Update the information for the bulletin board on a monthly basis
- Preparing Operations/ Admin cash projection and sending plan
- Responsible to prepare all job related payments (travelling, office rent, and housing)
- Update contact information of Tak governor, NGO and INGO when its movement
- Conduct Administrative orientation for IRC new comer
- Assisting to organize the big conference group ( CCSDPT week, TOPIC )as well as other special events
- Maintain and keep tracking office equipment ( LCD, video camera, copy machines) in properly condition
- Coordinate with staff, Admin BKK and related people for any issues of Mobile SIM Card
- Update and submit the SIM Card report on monthly basis to Field Coordinator
- Assisting Supply Chain in receiving goods , checking and distribution
- Assisting Operations team in general support such as going to bank, document filling system.
Staff management
- Prepare work plan and issues of Admin team to develop working performance
- Supervise Operations Assistant and oversee Admin team. Also establish working performance objectives, capacity building and monitoring.
General:
- Filing must be properly arranged and updated regularly
- Manage and maintain the office cleanliness and orderliness
- Perform other duties as per appropriated or requested.
