Position title: Project Administration Officer, Wildlife Trade Campaign
Directly reports to: Wildlife Trade Campaign Manager, WWF-Thailand
Validity: 12 months
Location: WWF-Thailand Office, Bangkok
- Major Function
Administer and support the execution of WWF-Thailand’s Illegal Wildlife Trade campaign, coordinate with WWF Thailand support staff and external stakeholders.
- Major Responsibilities
- Process administrative and financial documents
- Coordinate with external stakeholders
- Liaison with internal stakeholders within WWF offices.
- Prepare reports, on periodic basis, to the Campaign manager.
- Organize and oversee the work of short-term contractors where appropriate.
- Conduct initial research on assigned subjects
- Undertake other tasks as determined by the line manager.
This TOR covers the main tasks and conveys the spirit of the sort of tasks that are anticipated proactively from staff. Other tasks may be assigned as necessary according to organizational needs.

- Requirements
- Education and Qualification
- Bachelor Degree in relevant field i.e. project management, logistics, administration, or related.
- Experience
- At least three years of experience in administrative work, project management or other substantive area is required.
- At least two years of previous experience in project administrative and financial management or related work for a donor organization, consulting company, or NGO is an advantage.
- Knowledge of species and conservation background is an advantage
- Prior knowledge of WWF's organizational structure, goals, policies and activities is a distinct advantage.
- Experience in the usage of computers and office software packages (MS Word, Excel, etc) and advance knowledge of spreadsheet and database packages, experience in handling web-based management systems.

- Fluent Thai and English

- Research and Practical Support
- Undertake research and/or document or communication drafting tasks as requested;
- Translate documents and communication English-Thai, Thai -English, as requested;
- Attend meetings and prepare minutes or meeting summaries;
- Assist in the drafting of concept notes, budgeting, logical frameworks, or other project design.
- Administrative Support
- Pro-actively contribute to day-to-day project implementation and ensure conformity to expected results and project work-plans;
- Provide support to consultants as concerns communication, contracts, agenda, payment, etc.;
- Maintain records on all project personnel/national consultants and their respective status (contracts, ToRs, time and attendance – if appropriate, etc.) in accordance with accepted policies and procedures;
- Prepare and issue contracts;
- Make pertinent logistical arrangements for the prompt and effective implementation of activities;
- Maintain files and records;
- Arrange external and internal meetings.
- Financial Management
- Prepare requests for cash advance, reimbursement, or direct payments;
- Monitor budget expenditures and maintain a proper record of budgets and spending;
- Prepare proposals for budget revisions;
- Prepare reports as scheduled and special reports as required by donors;
- Assist project staffs, consultants and others on all aspects of allowances, travel claims and other financial matters and calculate payments due for claims and services;
- Undertake other administrative tasks on an ad hoc basis.
- Procurement
- Arrange for procurement of equipment, supplies and services;
- Arrange for equipment maintenance and insurance as required;
- Ensure that contractual processes follow WWF procedures;
- Physically clear and ensure delivery of equipment and supplies procured;
- Maintain an equipment and spare inventory including verification and transfer when required.
