Context:
Under the general supervision of Senior Resource Management Officer and under the direct supervision of the Head of Human Resources Unit, the incumbent will be assigned the following duties and responsibilities:
Core Functions / Responsibilities:
- Assist in orderly maintenance of documents, materials, and records in HR unit
- Ensure complete pre-employment documentation and assist in establishing personnel file.
- Assist in issuance of certification of employment letters and other related documents for staff members upon their request
- Ensure issuance and renewal of IOM ID badges and building passes for staff members, if applicable.
- Coordinate with the UN Security Unit for the issuance of UN ground pass for IOM staff members.
- Assist in reviewing and maintaining a record of incoming and outgoing correspondences
- Assist in maintaining orderly filing of applications from respective vacancy announcements, unsolicited applications, internship applications, and other relevant documents.
- Assist in responding to queries regarding vacancy announcement, establish contacts with candidates for interview; prepare case files for recruitment-related meetings; reserve meeting room(s) and equipment(s) for interview purposes.
- Assist in planning and organizing training activities, including preparation of training materials and coordination.
- Provide general administrative support to HR Unit if and when required
- Perform such other related duties as may be assigned.
Required Qualifications and Experience
- Thai National
- University degree in Business Administration, Social Sciences or related field
- 2 years of experience in HR or in providing secretarial or clerical support
- Discreet, details-oriented, patient and willingness to learn new things
- Work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage
- Team-work oriented, capacity to work independently; sensitive to gender issues, personal commitment, efficiency, flexibility, experience in working effectively and harmoniously with colleagues from varied cultures and professional backgrounds at all levels
- Fluency in English and Thai
- Proficient in MS office applications e.g. Word, Excel, PowerPoint, Email, Outlook
Languages
Fluency in English and Thai is required.
