Join Us as a Finance Coordinator

 

Location: Chiang Mai (Remote)| Travel: Up to 20% of work time | Report to: Finance Manager                   Status:Independent Contractor

 

Are you a professional passionate about making a difference? CPI is seeking a Finance Coordinator who will support oversees the financial operations, ensuring compliance, effective budget monitoring, donor reporting, audit support, and financial capacity building for staff and partners.

 

ROLE PURPOSE

The Finance Coordinator is responsible for overseeing CPI’s financial operations, ensuring compliance with donor and organizational policies, and supporting accurate budgeting and reporting across projects and partner organizations. The role provides technical financial guidance to staff and partners, leads budget monitoring, and supports audits and donor reporting. This position works closely with the Finance Manager, supervises a Finance Officer, and travels as needed to partner project areas to provide financial oversight and capacity building.

 

Summary of Job Responsibilities

Primary Responsibilities

  • Provide technical financial support and guidance to partners and CPI Staff, ensuring compliance with financial policies, accurate reporting, and effective budget management.
  • Ensure all partners’ financial data are recorded accurately and on time in the accounting software.
  • Ensure CPI and partner’s expenses are within budget, well documented and supported by receipts, review expense documentation and receipts for completeness and accuracy.
  • Regular monitoring of Partners’ financial reports and providing technical financial guidance in financial management to CPI and Partners staff.
  • Ensure and submit donor financial reports to compliance with donor requirements.

 

Regular Responsibilities

  • Deliver capacity-building initiatives and ensure comprehensive understanding and compliance with CPI and donor policies among project staff and sub-grantees, through structured training, ongoing guidance, and consistent support.
  • Support the preparation of donor budget proposals and revise budgets as needed in response to programmatic changes or donor requirements.
  • Coordinate with the program team to prepare accurate budget forecasts and facilitate the timely upload of approved budgets into the accounting software.
  • Prepare and update the monthly Budget Versus Actual (BVA) reports, review them with budget holders, and provide justifications for significant variances along with action plans to improve spending in line with the program timeline and objectives.
  • Collaborate with relevant program focal points to review monthly and quarterly financial reports, and support the Finance Manager in monitoring grant expenditures to ensure alignment with approved budgets.
  • Collect, consolidate, and review monthly cash forecasts and fund requests submitted by CPI field teams and implementing partners.
  • Prepare donor financial reports by verifying financial transactions against data in the accounting software to ensure accuracy, transparency, and accountability.
  • Provide support during internal and external audits for both CPI and its partners, ensuring timely and accurate documentation.

 

Partner Support

  • Work closely with the finance and program staff to develop the project and partner’s budget and support in review partner budget for partner agreement process.
  • Work with Program teams to oversee and monitor sub-grants and financial reports from partner organizations.
  • Making regular trips to partners to provide technical support and coordination with partner organizations and provide training on financial management as needed.
  • Ensure up-to-date and accurate tracking of financial performance of all sub-grantees.
  • Regularly monitor and review partner’s financial record with the recommendation for accuracy and post all financial transactions, review financial reports, ensure sufficient supporting documents in compliance with CPI and Donor requirements.
  • Participate the Due diligent assessment process for the finance section
  • Review partner budget for partner agreement process
  • Provide the finance induction to partners and mentor support to ensure that the partner able to manage and provide the report with supporting document as required.
  • Act as finance focal point person for partner financial support
  • Review and submit the inventory reports for the CPI Partners on quarterly basis, and develop to final report and submit for approval.

 

Other

  • Maintain, organize, and update budget-related data using spreadsheets and financial tracking tools to ensure accurate and accessible records.
  • Participate in coordination and staff meetings to support effective communication and alignment between finance and program teams.
  • Responsible for any other duties deemed necessary by the supervisor. Further responsibilities, tasks and competences will be adjusted on based on organizational developments.

What We’re Looking For:

  • B Com, LCCI Level III or University Bachelor's degree and diploma in accounting.
  • At least five years’ experience in a finance environment.
  • Sound judgment, planning and interpersonal skills.
  • Good communication skills.
  • Essential skills in Excel and accounting software is preferred.
  • Competence in using information technology, work-procession spreadsheet and PowerPoint software.
  • Exposure to NGO work is an advantage.
  • Able to think for themselves and make the necessary decision.
  • Able to work independently.
