ADMINISTRATIVE ASSISTANT

(Document Despatching)

 

The Southeast Asian Ministers of Education Organization (SEAMEO) is an intergovernmental organization established in 1965 by the governments of Southeast Asian countries to promote regional cooperation in education, science, and culture. We are currently seeking a qualified candidate for this position.

 

DUTIES & RESPONSIBILITIES

Under the supervision of the Administration Manager, the Administrative Assistant (Document Despatching) shall perform the following duties:

  • Register and distribute all incoming e-mails, letters, and other documents.
  • Register and dispatch all outgoing e-mails, letters, publications, and reports.
  • Manage the central filing system, including opening new files when required, assigning file code numbers, maintaining file cabinets, updating file lists, disposing of files, and updating the Filing Manual.
  • Generate e-certificates for participants of meetings, webinars, and seminars.
  • Provide administrative and logistical support for conferences, workshops, meetings, and other events, including preparing participant lists for administrative purposes and arranging document kits for SEAMEO annual meetings.
  • Perform other tasks as assigned by the Administration Manager.

 

 

QUALIFICATIONS

  • University degree in a field related to administration, management, or other relevant disciplines
  • Good command of written and spoken English
  • Good computer literacy, particularly in Microsoft Office applications
  • Minimum of three years of experience in administrative services
  • Pleasant personality with good interpersonal skills and the ability to interact effectively with people in a multidisciplinary and multicultural environment
  • Demonstrated ability to work effectively as part of a team
  • Demonstrated ability to prioritize tasks and work well under pressure
  • Good physical and mental health
  • Thai national, aged 25–40 years at the time of appointment
