Job Summary
We are seeking a proactive, highly organized, and detail-oriented Personal Assistant to provide seamless logistics and operational support to the Chief Executive Officer of the Mae Fah Luang Foundation under Royal Patronage. This role is ideal for a fast-thinking, resilient individual with strong organizational skills, sound English communication, and a genuine commitment to social development and community empowerment. You will manage the CEO’s travel, transportation, calendar, and day-to-day logistical needs, ensuring smooth and punctual operations at all times.
This role works alongside the CEO’s Content-focused PA, who owns meeting agendas, briefing content, and correspondence. The two roles coordinate closely to ensure the CEO’s schedule and materials are fully aligned.
Key Responsibilities
- Oversee end-to-end travel arrangements for both domestic field trips (project site visits in provinces) and international missions, including flights, accommodation, visa processing, itineraries, transit logistics, and expense management.
- Manage executive transportation, driver schedules, vehicle maintenance, and route planning to ensure smooth and punctual transfers across all travel destinations.
- Manage and coordinate the CEO’s master calendar, scheduling internal/external meetings, field visits, and engagements to avoid conflicts and optimize travel time.
- Coordinate meal orders, catering, and dietary preferences for internal meetings, C-suite guests, and official visits.
- Prepare logistical briefing packs ahead of meetings and trips (schedule, location details, contact lists, travel documents).
- Track and reconcile travel and logistics-related expenses; manage float/reimbursement processes as needed.
- Handle confidential scheduling and travel information with discretion and integrity.
- Serve as the CEO’s point of contact for logistics-related queries from internal teams, drivers, and vendors (hotels, airlines, visa agents).
Coordination with Content PA
- Maintains a shared master calendar with the Content PA to prevent scheduling conflicts and duplicate work.
- Aligns on handoff points for events/trips that involve both logistics (this role) and content/agenda prep (Content PA) — e.g., confirming who briefs the CEO on what, and by when.
- Flags any scope overlap (e.g., meal coordination for high-level meetings) early rather than defaulting silently to one person.
