The Need
For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. As we grow to expand our impact to protect 500 million people from violence by 2030, we are seeking an HR Associate and Executive Assistant to strengthen HR operations, recruitment, staff care, performance management, staff training and development, employee separation, and administrative effectiveness while also enabling the Country Director to focus on strategic leadership priorities by proactively managing priorities, deadlines, and follow‑up actions.
This position is based in Bangkok, Thailand, and reports to the HR Manager (primary supervisor) and Country Director (secondary) in Bangkok. Candidates should be based in Thailand and proficient in Thai.
Responsibilities
The HR Associate and Executive Assistant provides comprehensive administrative and operational support to the Human Resources department (60%) and the Country Director (40%). This role ensures efficient HR processes, high-quality documentation, seamless coordination of executive activities, and effective communication with internal and external stakeholders, while ensuring the Country Director consistently meets deadlines while focusing on strategic priorities.
Administration (Human Resources)
1. Post job descriptions and recruitment notices on external platforms, including the IJM website and job recruiting websites, IJM’s social media channels, and church and partner networks.
2. Coordinate the full recruitment cycle, including application screening, interview scheduling, reference checks, onboarding processes, and orientation.
3. Support the performance management process by ensuring accurate and timely documentation.
4. Plan, identify, organize, or coordinate the training and development of employees.
5. Plan, organize, and implement IJM’s staff care program, ensuring it functions smoothly and effectively.
6. Manage recurring transactional HR tasks resulting in good audit reports and employee support.
7. Assist the department manager in implementing spiritual formation and employee capacity development.
8. Serve as the administrative POC for interns' and fellows’ arrival, orientation and departure.
9. Maintain and update insurance coverage records for staff and eligible family members.
10. Prepare and support employee-related documents.
11. Provide administrative support to the HR Department Manager as needed.
Administration (Executive Assistance)
1. Track priorities, action items, and deadlines from emails, meetings, and delegated work, following up to ensure commitments are completed on time.
2. Manage the Country Director’s email inbox, exercising judgment to track and prioritize incoming requests, draft responses, flag urgent matters, and ensure requests and deadlines are met.
3. Manage the Country Director’s calendar proactively coordinating meetings, travel, and key engagements in alignment with priorities while protecting the director’s time for priority work.
4. Capture key decisions and action items from meetings and ensure timely follow‑up and communication of next steps.
5. Act as a trusted liaison for the Country Director, coordinating communication and follow‑up with internal teams, partners, and visitors.
6. Prepare the Country Director for meetings, decisions, and speaking engagements by researching issues, gathering information and drafting updates or presentations as needed.
7. Coordinate travel logistics and process expense reports for the Country Director in accordance with organizational policies.
Documentation, Reporting & Data Management:
1. Record meeting notes, decisions, and action items as required and support follow‑up and documentation.
2. Assist the Country Director in writing, editing, and submitting correspondence, draft agendas, external and internal reports, and meeting notes.
3. Assist in preparing memos, power points, policy documents, and other documents.
4. Compile and prepare reports and documents pertaining to personnel activities, including recruitment and selection, training and development, performance evaluations of employees, close-out evaluations of interns/fellows.
5. Assist the HR department manager in managing documents filing, storage, and liaise with and provide reports to government authorities as needed.
Events and Logistics:
1. Serve as the primary point of contact for incoming delegations, office visitors, and visiting teams, coordinating end‑to‑end arrangements—including scheduling, logistics, accommodation, transportation, meeting agendas, and on‑site support—to ensure a smooth, professional, and well‑organized visit experience.
General tasks:
1. Maintain confidentiality of privileged and sensitive information.
2. Maintain documentation of all the financial reports, including credit card and expenses.
3. Monitor recruiting inbox, respond, and shortlist and update applicants regularly; provide smooth coordination throughout the hiring process.
Requirements:
· Any other form of human resources certification is an added advantage
· Proficiency with Microsoft Office applications, particularly Word, Excel, PowerPoint and Outlook
· Good business writing skills
· No criminal record.
