Job Description

ICF is currently seeking a Consultant for an Event Manager/Program Assistant, based in Bangkok. This position is aimed at an experienced, take charge professional with ability to manage administration and logistics in support of an regional USAID program, the Low Emissions Asian Development (LEAD) Program, an innovative initiative that builds capacity throughout 11 Asian countries in responding to climate change.

The Consultant must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends.
The assignment will be conducted in two phases during the first phase (August through November), the consultant will support the planning and logistical requirements for a 4-day, 250-person event which will be held in Yogyakarta, Indonesia in November.

During the second phase (October กV December), the Consultant will support other smaller events and staff travel needs through the end of the consultancy period.
This assignment will require 1-2 weeks travel to Indonesia in November. It is expected that the Consultant will be contracted for up to 6 months and will report to the Deputy Chief of Party Operations.

Key Responsibilities:

Event Planning and Production
� Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and meet the quality expectations of the LEAD program.
� Aggressively gather information on each project to achieve quality event productions.
� Conduct research, make site visits, and find resources to help staff make decisions about event possibilities.
� Create and revised room layouts for each event.
� Propose new ideas to improve the event planning and implementation process.
� Serve as liaison with vendors on event-related matters.
� Assist with managing on-site production and clean-up for events as necessary.
� Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
� Close out all events as required.

Event Administration:
� Assist with preparing budgets and provide periodic progress reports to the Deputy Chief of Party for Operations for each event.
� Keep track of event finances including check requests, invoicing, and reporting.
� Coordinate appointments and visits to see our space, and scheduling of events on the calendar.
� Prepare and modify event contracts as requested
Travel Support:
� Responsible for coordinating staff travel needs.
� Schedules hotel and flight accommodations for both staff travel and event participants
� Ensures that travel needs are met within the constraints of the company travel budget.
Preferred Skills/Experience:
� USAID experience preferred
� Previous work experience in other Asian countries preferred
� Other development program experience with bilateral or multilateral agencies or programs

� Excellent communication skills, including writing, proof reading skills, and speaking.
� Ability to manage multiple projects and work assignments from a variety of staff and volunteers.
� Excellent interpersonal skills both in person and by phone, with high professionalism.
� Ability to accomplish projects with little supervision.
� Fantastic customer service ethic and high expectations for quality.
� Bachelors degree preferred; significant work experience can substitute for the degree.
� At least 3 years experience with office administrative management.
� At least 1 year experience coordinating special events.
� Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches.
