Job Title: Human Resource Data Migration and Administrative Consultant

Department: Operations                                      Reports to: Human Resources and Operations Manager 

Location: Bangkok, Thailand                               Contract Length: 1 month

Background:

Amnesty International Thailand is in the process of transitioning its internal HR management system from UNBUG to HumanSoft. This transition aims to enhance the accuracy, accessibility, and efficiency of staff leave management, travel records, and other HR-related data processes.

To ensure a smooth migration and proper implementation of the new HR tool, the organization requires temporary consultancy support. This support will focus on reviewing existing leave and travel records, verifying data accuracy, and assisting in the configuration and completion of HumanSoft functionalities.

The migration covers employee leave balances and related data from UNBUG to HumanSoft. Accuracy and data security are key priorities, as the system will serve as Amnesty International Thailand’s primary HR information platform going forward.

Objective of the Assignment:

The primary objective of this assignment is to support the HR and Operations team in ensuring a smooth transition from UNBUG to HumanSoft by:

  • Verifying, organizing, and migrating staff leave and travel records for the year 2025.
  • Supporting the configuration and testing of HumanSoft functions to ensure operational readiness.
  • Assisting the HR and Operations team in maintaining data integrity and ensuring a seamless implementation process.

Scope of Work / Key Responsibilities:

The Consultant will work closely with the Human Resources and Operations Manager and Operations team to:

  • Review, cross-check, and consolidate all staff leave and travel records in UNBUG for the year 2025.
  • Migrate verified data into HumanSoft according to organizational guidelines.
  • Support initial system configuration of leave types, public holidays, and approval workflows within HumanSoft as guided by the Senior HR & Administrative Officer.
  • Conduct basic user testing to ensure migrated data displays correctly and leave request functions operate as expected.
  • Identify any inconsistencies or data gaps and coordinate with relevant staff for resolution.
  • Assist in documenting processes, guidelines, and checklists to support the full rollout of HumanSoft.
  • Provide general administrative and HR data management support during the transition period.

Deliverables:

  • A complete and verified dataset of 2025 staff leave, and travel records migrated from UNBUG to HumanSoft.
  • A migration report summarizing the process, data gaps, and issues encountered (if any).
  • User testing summary report confirming functionality of leave types, balances, and approval flow.
  • Updated process documentation to support future HR team training and reference.Updated HumanSoft HR records reflecting accurate and complete data.
  • A brief implementation note or checklist documenting the steps completed in the migration and configuration process.
  • Any additional administrative and HR data support as required during the transition period.

Duration and Work Schedule:

  • Duration: 1 month
  • Work Schedule: Full-time, 9.30am to 5.30pm, Monday–Friday

Qualifications and Experience:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Minimum 2 years of experience in administrative or human resources work.
  • Strong data management and organizational skills with keen attention to detail.
  • Experience using HRIS platforms or HR data systems; familiarity with UNBUG and/or HumanSoft is an asset.
  • Good communication skills and ability to work collaboratively with multiple teams.
  • Proficiency in Microsoft Excel and general data processing.
  • Ability to maintain confidentiality and handle sensitive information responsibly.

Reporting and Supervision:

The temporary staff will report directly to Human Resources and Operations Manager and work closely with the Senior Human Resources and Admnistrative Officer.

Payment Terms:

Remuneration: 25,000 baht (lump-sum upon satisfactory completion of deliverables, subject to approval by HR & Operations Manager).

Confidentiality:

The Consultant must comply with Amnesty International Thailand’s data protection and confidentiality policies, particularly regarding personal data stored in HR systems.

Termination Clause:

Either party may terminate this contract by providing a written notice at least 14 calendar days in advance. The notice shall clearly state the effective date of termination. In case of unsatisfactory performance or breach of confidentiality, Amnesty International Thailand reserves the right to terminate the contract immediately.
