The Need
For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. As we grow to expand our impact to protect 500 million people from violence by 2030, we are seeking a Casework Coordinator to impart a high level of coordination and cooperation between departments related to forced labor or labor trafficking (FL/LT) cases.
This position is based in Bangkok, Thailand, and reports to the Senior Manager, Program Support and dotted line report to the Executive Director in Bangkok.
Responsibilities
Casework Operations & Coordination:
1. Lead logistical and organizational efforts of major casework events and operations, including Multidisciplinary Team Human Trafficking Victim Identification (MDTs), prosecutor interviews, arrest and rescue operations, trial, victim compensation meetings and court-related processes.
2. Support the management of case review meetings and briefings with Thai law enforcement, governmental partners and other NGOs, which involves multi-disciplinary coordination across casework teams.
3. Assist Casework HODs and Legal & Aftercare team in all tasks and planning during major casework events, operations and case review meetings/briefings.
4. Regularly accompany Casework teams in their field trips to provide logistical support, as well as to identify and address gaps including on site problem solving and support needs of each team.
5. Assist Survivor Service team in providing crisis support for Potential Victims of Trafficking as needed.
6. Occasionally provide case management support to English speaking survivors as needed in Forced Scamming cases.
7. Draft casework-related outgoing official letters to relevant government agencies as needed.
8. Handle casework-related finance processes including requesting Spend Authorizations and clearing Expense reports on behalf of Legal and Survivor Service teams.
Communication:
1. Maintain clear and open channels of communication regarding cases between teams, by working closely and communicating frequently with Casework Heads of Departments (HODs).
2. Serve as the focal point on case-related communication between IJM Thailand and IJM APAC program offices on all incoming referrals from partner organizations.
3. Serve as secondary focal point on case-related communication between IJM Legal team and law enforcement POCs during legal casework events.
4. Organize regular casework team meetings as requested by Casework HODs.
5. Keep a record of key decisions made and maintain up-to-date meeting notes, following up on action points with individuals as appropriate;
6. Work closely with IJM Thailand and Sr. Lead, Communications and Media, FLS Hub to fact-check and verify information on Breaking News Templates, Press Releases and other communications projects post-major casework operations, and corroborate information with relevant Casework staff and translate social media posts to Thai as needed.
Documentation, Reporting & Data Management:
1. Conduct trainings and onboarding of new Program staff, interns and fellows to the Justice Data Solution (JDS).
2. Conduct daily reviews of case updates on all case communication channels and corroborate information across various platforms.
3. Facilitate weekly data quality checks of JDS data entry and work proactively with Casework teams to assist their revision process.
4. Support , assess and continually improve the data entry practices of the teams, and the quarterly reporting process.
5. Continually update internal case trackers and casework documents, and conduct English-Thai translations of said documents when requested.
6. Assist Senior Manager, Program Support and Associate, MEL and date in monitoring and verifying all reported Casework Progress Indicators (CPIs) as part of the Quarterly Reporting Process.
General tasks:
1. Plan for and arrange other inter-departmental meetings whenever necessary.
2. Identify opportunities for collaboration between teams and facilitate these.
3. Be responsible for handling assigned special casework-related and program support projects.
4. Occasionally provide translation for the FOD and HILED during case related meetings with government agencies.
5. Assist as secondary driver during Casework operations and events.
6. Proof reading of Casework reports and M&E target KPIs before reporting.
