Location: Mae Ramat, TAK Province, SMRU/BHF Work Area.
Introduction
The Borderla0nd Health Foundation (BHF) is a non-for-profit, non-confessional and non-political organization, registered in Thailand. The Foundation is linked to a field station of the Mahidol - Oxford University Research Unit (SMRU) which located in Tak province, Thailand. BHF is working with marginalized populations along the Thailand-Myanmar border to scale up and support the health projects, translating the results obtained by SMRU. The main areas of work are malaria, tuberculosis and maternal & child health.
Job Summary
This position is mainly focus in coordination for all logistics needs of BHF projects, assisting works in Procurement & Store Departments for all the supplies delivery, tracking the procured supply and make sure the supply arriving to program locations on time with the documentation of supply follow up. He/She is also responsible for ensuring smooth operations of BHF storage facilities and manage the receipt, dispatch and inventory keeping of all goods that entered into the storage facilities.
Tasks and Responsibilities:
- Storage and Distribution Management:
- Follow up closely with the procurement team to check vendor goods delivery schedule and cargo arrival notice both domestic and overseas shipment.
- Verify the receiving materials according to the purchase orders and deliveries documents on specification, quality and quantity.
- In line with procurement team to communicate with vendor or service provider to arrange transportations for deliveries of supplies and materials to the warehouse and project partner.
- Ensure the timely delivery of supplies and adequate mode of transport to program locations with the coordination of logistics and procurement team.
- Conduct a physical count of inventory to determine if quantities are within acceptable limits.
- In line with program team to prepare the weekly & monthly materials distribution work plan.
- Conduct the periodical visit to check storage goods and warehouse condition at external job site.
- Make a necessary materials transfer or relocation between warehouses to maintain a proper storage condition in systematic order.
- Monitor a current inventory level and communicate with the Procurement & Store Manager and Program Manager about the inventory levels to ensure adequate supplies are available for each project and provide forecast of shortage period for preparedness to program team.
- Maintaining inventory records to track incoming and outgoing shipments, including identification numbers, dates, and quantities.
- Utilize BHF/SMRU Store Management Software Program to generate the monthly stock balance report.
- Provide and update of Equipment Asset list to management as per donor’s requirement.
- Ensures that the storage spaces and conditions are appropriate to the mission’s need and that merchandise is stored appropriately in terms of layout, safety, and hygiene following BHF/SMRU Store Management Guideline procedures.
- Prepare report of monthly stocks, end of grant stocks, fiscal year physical counts and other physical counts, as instructed by supervisor.
- Set up reporting system from the field level to the central level and ensures all concerned task is done properly and reporting to logistic manager as assigned.
2. Coordination
- Working closely with BHF/SMRU logistics Department and share the store activities, materials distribution and travel plan effectively.
- Attend any required Program & Logistics Coordination Meeting to share the status of stock, transport and work situation with logistic, project partners and field area team.
- Attend Store & Logistics Mandatory Training as required by BHF & SMRU program & donor.
- In line with program team to communicate with project partners for confirmation, change, planning and reporting problems on materials delivery and receiving and schedule.
- Follow to maintain a quality and efficient output stock and asset report for presentation.
- Performs other related duties as assigned by supervisor.
Position requirements
- Degree in warehouse, store or logistics operation work and administration or related field.
- Minimum 5 years of experience in logistics and supply chain management.
- Strong experience in logistics and project management in a comparable environment with NGOs, iNGOs, CBOs work context.
- Good command in written and verbal of Thai, English, Burmese and/or Karen language
- Good MS Office skills i.e. Excel and Word and database skills
- Honest, fast learner and active in dynamic work situation subjected to rapid change any time.
- Strong interpersonal and communication skills.
- Mature, polite and be a good team player
- Good troubleshooting skills with the proven ability to pay close attention to detail.
- Culturally sensitive with the ability to work with a multi or cross-cultural team and understanding of the situation along the Thailand-Burma border and in- side Burma.
