Result-based Report Writing

 

The Pestalozzi Children's Foundation (PCF) is a Swiss non-profit organisation, which works worldwide. Our vision is to create a world as a global village of peace through education. PCF seeks to enhance inclusive and equitable quality education to promote sustainable development and living peacefully together in 12 different countries in Central America, Southeast Asia, East Africa and Southeast Europe. PCF is implementing projects through local and experienced partner organisations, which are responsible for the planning, implementation, monitoring and evaluation of the joint projects.

 

1.Objective of the Training

PCF provides funding to local organisations and aims at strengthening their staff capacities and skills to achieve the programme outcomes. To support local partner organisations we would like to offer a training for Project Directors, Managers, Coordinators and Finance Officers on Result-based Report Writing. The training shall be tailored to the specific needs and knowledge of the PCF Partner Organisations. Effective reporting helps managers understand what is happening on the ground and steers projects towards results – while keeping both duty bearers and donors satisfied. The training shall enable participants to analyse project results, convey information/project results, draw meaningful conclusions, and reveal the stories behind the numbers in a clear, concise, analytical and result-based format.

 

2.Participants

Participants will be selected from PCF partner organisations (of Thailand) as identified per the organisation's Report Writing capacity needs. Most of PCF partner organisations are local NGOs of small size which don‘t have a specific M&E Position. Monitoring and report writing is in the responsibility of the project coordinator and project director. In the previous report writing period, PCF Thailand observed that the project teams were able to report the actual results in quantity but for the quality it needs improvement especially regarding the lessons learned. The training shall be conducted for a minimum of 15 and maximum of 20 participants.

 

3.Tentative Agenda

The training agenda shall be developed in close cooperation between PCF and the external service provider

The main topics will be:

  1. Set reporting objectives – learn how to define clear reporting objectives by understanding the readers’ expectations. Understand how to deconstruct the report template so one can manage complex reports and team reporting efforts.
  2. Get to grips with data. – Understanding the result (quality and quantity) collected from the project Monitoring (Monitoring System). Analyse the results, map valuable insights and draw meaningful conclusions, reveal the stories behind the numbers.
  3. Communicate with impact in an analytical and result-based manner – master the art of clear communication.
  • How to explain the achievements and setbacks for each output that responds to the outcome and to impact.
  • How to write project lessons learned.
  • How to explain the Financial Report in the Narrative report which is relevant to the activities-output-outcome

In order to determine the current knowledge and exact needs of the participants, an assessment questionnaire shall be developed and circulated by the trainer upon provision of participants' contacts. The results will inform the detailed planning and agenda of the training.

A follow-up exercise for the participants shall be part of the training package (participants go back to their respective work and apply their learning), the exact format is to be identified and agreed with the trainer.

 

4. ​​​​​​​Dates and Place

Preferred dates for the training are between 8-10 May 2024. The duration of the training should not exceed 3 days (excluding arrival and departure of trainer and participants). The training shall take place in Chiang Mai, Thailand. Costs for transport, accommodation and alimentation are covered by PCF.
