RECOFTC is working in close collaboration with the Wyss Academy for Nature to research, develop and implement innovative solutions to tackle climate change, biodiversity change, land use change and rising inequality by connecting technical, social, economic, institutional and policy innovation at the interface of nature and people.
RECOFTC invites applications for the position of Administrative Officer to support the activities under the collaboration. The successful candidate will be based at the RECOFTC Main Office in Bangkok, Thailand. The contract duration is for 18 months. The position is for Thai nationals only.
Specific tasks and duties
The Administrative Officer is a member of the RECOFTC team and works under the supervision of the Regional Senior Advisor. The Administrative Officer is responsible for the preparation and management of the financial, administration and logistical arrangement of activities under the RECOFTC-Wyss Academy agreement.
Specific duties and responsibilities include:
-Work closely with RECOFTC and Wyss Academy staff to ensure preparation and management of all accounts.
-Assist in the planning and budgeting for the project program, take the lead role in finance and budgets, and ensure that the assumptions, parameters, guidelines and policies in planning are complied with
-Manage transactions directly onto the accounting software, prepare all the documentation and ensure their accuracy
-Generate appropriate reports e.g., International Financial Reporting Standards, transaction listings, etc. Ensure timely and regular submission of required financial reports
-Monitor financial disbursements and oversee all administrative procedures in line with RECOFTC’s and Wyss Academy’s standards and requirements; this will include training and becoming proficient in the use of the required systems
-Attend and participate in project meetings and provide inputs to financial related matters where necessary
-Review and monitor project performance and provide recommendations in relation to financial management
-Provide administrative and logistical support to ensure proper communication and exchange between RECOFTC and Wyss Academy
-Be the focal point and coordinate with RECOFTC and partners in purchasing office supplies and equipment, and manage the inventory database following procurement and auditing guidelines
-Assist in office bill payments
-Maintain a vendor database and update regularly
-Closely work and coordinate with RECOFTC programs to support procurement for project activities as needed
-Support the creation and maintenance of human resource filing systems such as phone tree, employment records, etc.
-Prepare documents related to work permits and visa application, and accompany foreign staff/researchers/volunteers to the relevant Thai offices occasionally
-Other tasks as assigned by the Regional Senior Advisor
Qualifications and Experience
-Bachelor's degree in Finance, Business Administration or other relevant subject
-Three to five years’ experience in administration, finance and human resources management
-Demonstrated experience in the non-profit sector and donor funded projects
-Proven experience in handling multiple tasks at the same time
-Able to prioritize and meet deadlines with strong attention to consistency, detail and quality
-Working knowledge of using Shared Drive, Teams, MS365 and related tools (Word, Excel, Calendar, etc.)
-Excellent organizational, planning and interpersonal skills
-Ability to communicate and support a wide range of clients and partners
-Excellent communication skills, both verbal and written Thai and English
-Thai national only
-Training in relevant fields (management, financial management, accounting e.g., CA, CPA, ACCA) is an asset as well as a good understanding of Thai government rules and -regulations related to accounting
-Demonstrated working experience in the NGO and research sector in Thailand and the Southeast Asia region
