Event organizer for Advocacy Event on Integrating Child Protection in Emergencies Preparedness Plan

Background 

 Children of different gender and age groups in Yala experience conflict in unique ways. Male children and adolescents, particularly those in religious schools, risk being recruited by insurgency groups and harassed or detained by security forces. Female children and adolescents, on the other hand, face risks linked to harmful community practices and economic coping mechanisms leading to SGBV, isolation, and early marriage. Compounding these issues, Yala is prone to seasonal flooding and landslides with recent affected household estimates reaching over 62,000 in late 2020. Amid the ongoing COVID19 pandemic and its strain on public services, the multi-hazard context in the Deep South is now more apparent than ever.

The 24-month action from 1 July 2022 – 30 June 2024, the ECHO HIP project targets six communities to develop Emergency Preparedness Plans (EPPs) that reflect Yala's multi-hazard context, with a particular focus on conflict hazards through a child-participatory approach. The action will implement through two local partner organizations; the Association of Children and Youth for Peace and Nusantara for Human Rights and Development will be involved to ensure multi-sectoral coordination such as engage religious leaders, government authorities, and community members to address drivers of violence affecting children, and undertake targeted advocacy with national and regional mechanisms to replicate achievements and learnings from Yala on a wider scale.

Save the Children (Thailand) Foundation and project partners together with provincial stakeholders will host the advocacy event on the issues of Integrating Child Protection in Emergencies Preparedness Plan on 7th November 2023, 9.30 – 16.00 hrs. The size of the guests will be approximately 350 attendees.

1. Leading on the event planning, design, and ensures smooth logistical preparation.  

 

  • Consult with SCT on the event agenda and planning 
  • Consult with project team to design the key presentation session
  • Coordinate with venue for set-up requirements
  • Design and set up an exhibition to display key research findings
  • Develop key visuals
  • Print materials and manage interior event setting (venue and stage set-up)
  • Support the project team for livestream if required.
  • Prepare photographer/video for the event
  • In consultation with SCT, prepare the video content and production
  • Prepare any sound/lights/digital equipments if required (e.g., additional screens for participants)
  • Design and produce backdrops for stage and venue
  • Prepare press kits
  • Invite and confirm media

During the event 

2.Event organization  

i. Leading in organizing the event agenda and ensure smooth transition between each activity.

 

ii. Work with the project team   to support on livestream, photo, and video team to capture the moments during the event.  

 

iii. Coordinate and handle the media during the event.

 

iv. Produce a video with interviews of key speakers, as discussed with SCT

 

v. Control stage re-arrangement, light and sound technical, display screens, presentation.

 

vi. provide foods and drinks for participants.

7th November 2023

Post event 

3. Summary of an event 

i. Prepare a two-page event summary report 

 

ii. Submit media assets including high quality photos and videos that capture activities in the event 

 

iii. News clippings of the media coverage.

Key Qualifications:  

  1. Successful track record of creative designing and implementing public facing event, especially for non-profit causes. Experience on the disaster, child friendly space and child protection.
  2. In-depth understanding of all logistics and protocols needed to ensure smooth event management and implementation.
  3. Good media network to support implementation of event. 
  4. Proficient in both Thai and English. 
  5. Ability to meet tight deadlines. 

 Save the Children (Thailand) Foundation will provide the following arrangements for the event: 

  • Compensation fees for guest speakers 
  • Service fee for event MC

Consultancy period:  15 September – 30th November 2022. The event will be a full day event on the 7th November 2022 9.30 – 16.00

 

Professional fees: Based on competitive application process  

 Payment condition: 

  • 50% upon contract signing  
  • 20% upon the approve of designed event
  • 30% upon service completion and submitting summary report, including all design materials and media assets.

It is expected that:

  • The event and activities will be inclusive and age-appropriate
  • The Consultant will adhere to the Save the Children Child Safeguarding, Data protection and Privacy policies that are required throughout all process.

 Management: 

This consultancy will be managed by ECHO HIP project coordinator. The Consultant will also need to coordinate with Communications, Campaign, and Media Coordinator.

 Place of work: Yala, Thailand 

Theme: Disaster Risk Reduction which include emergency preparedness, presentation from stakeholders, and drill showcase.
