Position: Technical support for organisation of project RAIN’s launch event

Type of Contract: Fixed price contract or Individual Consultancy

Duration of Contract: 22 May 2023 –  21 June 2023 (part-time capacity)

Winrock International is currently seeking proposals from individual consultants to support the technical support for organization of a project launch event on June 21^st, 2023.

Background

The USDA-funded Regional Agriculture Innovation Network (RAIN) project, implemented by Winrock International, facilitates adoption of climate-smart innovations to increase productivity, reduce environmental impact, and expand trade in Thailand and Southeast Asia through creation of a Climate Hub.

The Climate Hub organized through the RAIN project will coordinate a research consortium in close collaboration with Kasetsart University, the premier agricultural university of Thailand, the National Science and Technology Development Agency (NSTDA), and the Ministry of Agriculture and Cooperatives.

Responsibilities

• Maintain smooth coordination with the selected venue, particularly on seating arrangements, session plans, food and beverage, decoration, VIP arrivals, hotel security briefing and audiovisual setups
• Support participant registration and collect evidence for attendance
• Ensure attending guests and media are well informed of the agenda and venue specificissues such as conference room and facilities
• Collect all supporting materials for the sessions (power points, videos, etc.) and ensure these are ready for use
• Coordinate with suppliers for souvenirs and giveaway items
• Support in breakout sessions as required
• Prepare technical aspects of approved quizzes and games such as uploading to suitable platform such as mentimeter
• Technical trouble shooting as needed
• Regular communication with RAIN team on specific technical needs

The consultant will be familiar with the agenda, organize tech run-throughs, and be available full time one day prior to and the day of the launch event (June 20^th and 21^st).

Qualifications

The consultant should meet the following minimum requirements:

• Experience in running international events is a must
• Be a quick thinker who can solve problems quickly
• Be personable and work well under stressful conditions
• Working English proficiency
• Experience working with Office, Windows, and MS teams, as well as using interactive online tool(s) for conference such as mentimeter, etc.

• Available full time on 20^th21^st June 2023

2. Names and contact information for three references who can provide evidence of the candidate’s experience performing similar tasks on related assignments.
