Background/IRC Summary: The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises, helping to restore health, safety, education, economic wellbeing, and power to people devastated by conflict and disaster. Founded in 1933 at the call of Albert Einstein, the IRC is at work in over 40 countries and 26 U.S. cities helping people to survive, reclaim control of their future and strengthen their communities. The IRC has been operating in Thailand since 1975 and currently provides assistance to displaced persons in Tak, Kanchanaburi, Ratchaburi and Mae Hong Son provinces.
Based in Bangkok with four field offices in Thailand and Malaysia, the IRC Resettlement Support Center (IRC-RSC) assists persons throughout East Asia seeking permanent resettlement in the United States.
Job Overview/Summary:
The RSC Temporary Assistant will support the Program teams through the provision of basic clerical and administrative tasks related to the United States Refugee Admission Program (USRAP) refugee casefiles. This will include case creation, scheduling, library keeping, scanning, data entry, filing, copying, and printing of documents to further USRAP processing.
RESPONSIBILITIES:
• Create refugee cases in START to be submitted and authorized for USRAP processing and perform routine quality control procedures on case creations and schedules.
• Record accurately call lists and schedule IDs in accordance with relevant guidelines in the designated location in shared drive.
• Respond to requesters for case files and ensure accuracy of files movement using internal database and RFID software accurately daily.
• Review location of all existing files both in/out of the RSC office accurately to maintain systematic files organization and always keep the library tidy and clean.
• Scan and attach file documentation into START database and perform quality control checks for accuracy (complete, legible scan with correct naming convention)
• Create Travel Packet for cases ready to resettle to the U.S. and perform quality control checks on all required documentation to match between data in START and physical file before packaging the Travel Packets.
• Ensure assemble all required documentation in appropriate order before passing physical file undergoes final quality check.
• Assist with other basic administrative and clerical support tasks as needed.
• Adhere to all relevant processing guides and procedures.
Deliverable:
• Complete a minimum of 15 case creation per day or,
• Response to requesters for case files no more than one hour or,
• Complete scanning of a minimum of 25 files per week or,
• Complete packaging of a minimum of 40 files per week
Duration of Work: 6 months
JOB REQUIREMENTS:
Education: Minimum Upper Secondary School (Matthayom 6) Degree
Work Experience: Minimum one years of office administrative experience or any related field. Data entry experience is required.
Demonstrated skills:
• Must be able to lift 25 kilograms of case files boxes or trunks.
• Strong data entry skills
• Experience with common office equipment including scanners, copiers and printers.
• Proven skills in general office administration and interdepartmental communication.
• Must have basic knowledge of computer skills, including thorough knowledge of Microsoft Office, including Word, Excel, Access, and Outlook.
• Excellent organizational skills, flexible, attention to detail and ability to work effectively manage time and meet deadlines
• Ability to take direction from supervisors and cooperate with teammates
Languages and computer skills:
• Bilingual English/Thai, with strong English comprehension
• Proficiency in Microsoft office applications and Adobe Acrobat
Police Clearance:
A police clearance issues within the last two years is requires for this position. The employee is required to adhere to “The IRC Way” for professional conduct, as well as to be in compliance with all relevant Policies and Procedures while carrying his/her duties.
