Background/IRC Summary:

Founded in 1933 at the call of Albert Einstein, the IRC is at work in over 40 countries and 26 U.S. cities helping people to survive, reclaim control of their future and strengthen their communities. The IRC has been operating in Thailand since 1975 and currently provides assistance to displaced persons in Tak, Kanchanaburi, Ratchaburi and Mae Hong Son provinces.
Job Overview/Summary:
The Human Resources and Administration Assistant will effectively support Human Resources and Administration Manager on day-to day operations of human resource and administrative duties in IRC, Mae Hong Son office.
Scope of work:
Human resources
- Assist Human Resources and Administration Manager preparing visa and work permit paperwork as required by relevant Thai authorities.
- Assist Human Resources and Administration Manager preparing 90-day notice and address report for Mae Hong Son passport holders.
- Assist Human Resources and Administration Manager preparing and distributing Local camp Pass for IRC staff, IRC visitors, patient, refugee, and IRC materials.
- Assist Human Resources and Administration Manager preparing Camp Based Staff (CBA) stipend, Letter of Understanding (LOU) and CBA cards.
- Assist Human Resources and Administration Manager obtaining travel document for color-card holders.
- Represent IRC positively and professionally both internal and external relations and situation
- Keep HR information private and confidential.
- Perform other HR duties as assigned by supervisor.
Administration
- Assist Human Resources and Administration Manager preparing payments related to office utilities, accommodation, and relevant payments.
- Assist Human Resources and Administration Manager managing Mae Hong Son staff and visitors’ itineraries.
- Assist Human Resources and Administration Manager managing Mae Hong Son office’s meeting rooms.
- Assist Human Resources and Administration Manager managing Operations’ stationery stock lists.
- Perform other administrative duties as assigned by supervisor.
Deliverable:
- Complete visa and work permit paperwork as assigned by supervisor.
- Complete 90-day notice and address report as assigned by supervisor.
- Complete paperwork of Local Camp Pass as assigned by supervisor accurately and within the given time frame.
- Complete tracking sheets related to visa, camp pass, etc. accurately as assigned by supervisor.
- Complete Camp Based Staff (CBA) stipend monthly payments, LOU paperwork, CBA cards to programs as assigned by supervisor.
- Complete color-card holder’s travel documents as assigned by supervisor.
- Complete monthly payments related to office utilities, accommodation, and relevant payments as assigned by supervisor.
- Successfully manage meeting room booking as required by IRC staff.
- Successfully manage and record Operations’ stationery stock lists.
- Daily work progress report to Human Resources and Administration Manager.
Duration of Work: 4 months
Term of payment: The wage will be paid after the Human Resources and Administration Assistant submit Timesheet at the end of each month. The payment will be made by bank transfer within seven days after submission of Timesheet.
JOB REQUIREMENTS:
Education:
- Bachelor’s degree in human resources management, Business Administration, or related field.
Work Experience:
- 1-year work experience in Administrative or Human Resources.
- Experience in visa and work permit paperwork management is preferable.
- Experience in non-profit organization or international environment is preferable.
Demonstrated skills:
- Excellent organizational skills, deadline oriented and good team player.
- Attentive to details.
- Ability to accurately follow instructions.
- Positive attitude and excellent service mind
- Valid motorcycle license
Languages and computer skills:
- Strong communication skills, both written and spoken English and Thai
- Excellent computer literate with capacity in email, Microsoft Excel, and Microsoft Word.
- Demonstrate skills in record keeping
