Position Title: Project Office Assistant

Duty Station: Tak province, Thailand

Classification: Long-term professional

Desired Start Date: As soon as possible

Closing Date: 29 October 2022

 

Chemonics seeks a Project Office Assistant for a USAID-funded project based in Tak province, Thailand. Chemonics International is a US-based international development consulting firm operating in over 80 countries. Our mission is to promote meaningful change around the world to help people live healthier, more productive, and more independent lives.

 

The Project Office Assistant is responsible for providing administrative support to the Chemonics Thailand office in Tak province, including but not limited to travel logistics, office support, procurement, vetting, event planning, and procurement. We are looking for individuals who have a passion for making a difference in the lives of people around the world.

 

Specific Tasks and Responsibilities

The Project Office Assistant will have the following tasks and responsibilities:

  • Fulfill all office administrative duties including, but not limited to, photocopying and scanning, greeting and directing visitors, and maintaining a log of inquiries and messages as required.
  • Ensure technical staff receive assistance in arranging travel, visas, hotel accommodations, and customs expeditors for all project-related travel.
  • Take meeting minutes for all team meetings and distribute accordingly.
  • Deliver adequate, timely administrative and logistical support to the technical team, as needed.
  • Support the Operations and Finance Director with maintaining and updating all administrative trackers including the inventory tracker, among others.
  • Support the coordination of project events by identifying venues, procuring materials, sending invites, developing agendas, and supporting all necessary setup.
  • Support the operations and finance team with the evaluation of offers and selection of service providers in compliance with Chemonics policy and USAID rules and regulations.
  • Update and manage performance tracking systems for the service providers.
  • Support the process payment requests for all service contracts and subcontracts.
  • Fulfill other administrative functions as required.

 

Qualifications

  • Bachelor’s degree or equivalent level of work and education experience.
  • Entry-level applicants are encouraged to apply; previous experience in a similar role is not required.
  • Ability to track and manage multiple tasks concurrently, making regular use of productivity and organizational tools.
  • Proficiency with Microsoft Office applications, particularly Teams, Outlook, Word, and Excel, is required.
  • Growth-oriented mindset and willingness to learn and gain exposure to new technical areas.
  • Demonstrated leadership, versatility, and integrity.
  • Professional proficiency in written and spoken English and Thai required. Additional proficiency in Myanmar language is strongly preferred.
  • Thai national or non-Thai who can work legally in Thailand.
