Just Economy and Labor Institute (JELI) seeks an experienced and strategic Administrative Coordinator to coordinate several projects on gig workers research, advocacy, and empowerment.

JELI is a non-profit organization working to promote social justice and ensure the protection of labor rights in Southeast Asia by empowering workers & working-class communities, and producing strategic research for campaigns and policies aimed at achieving a just economy and society. We support workers and labor organizations by offering educational and capacity-building programs. We also partner with rights-based organizations that share our vision and mission to conduct research and propose policy recommendations aimed at achieving economic and labor justice.

Role overview

The Administrative Coordinator facilitates all projects/ program under JELI, integrated and quality programs (design, implementation, monitoring and evaluation). To support the achievement of the organization's goals and mission. Ensure effective implementation of the projects, assisting in developing implementation plans under JELI including plans for monitoring and evaluation and publications. The successful candidate is responsible for administrative support and logistical tasks for the projects/program under JELI as well as maintaining human resources.

 

 

 

 

 

Responsibilities:

1) Coordination and Facilitation

  • Focal point to facilitate all activities operated by JELI including working with partner organizations, grassroots organization and other key stakeholders to ensure the implementation of the project deliverables and the quality programme delivery of projects aligned with JELI’s framework and donor contract compliance.

  • Coordinate and manage the emails, official documents and administrative works in accordance with the missions of the research projects/activities under JELI.

  • Undertake basic financial management for JELI including budget planning and implementation.

  • Prepare/arrange meetings, workshops, capacity building training, etc., checking the readiness of meeting venue and equipment, recording the meeting discussion, writing weekly meeting minutes for the team, and following up the agreed upon decisions from the meetings.

2) Liaison and monitoring

  • Manage, maintain and build relationships with partners and donors. Working closely with the Managing Director, Programme Manager and team.

  • Act as administrative officer to provide administrative support and logistical tasks for the projects/program under JELI as well as maintain human resources.

  • Liaise with hotels or venues and provide administrative assistance as required e.g. per diem for the participants, availability of equipment and communication facilities at meeting venues.

  • Monitor project progress and handle any issues that arise.

  • Report regularly and follow up the implementation and management of all projects/activities in the fields with reports, including budget plan vs actual spending in order to meet high standards.Support the project/program documents, internal and external official documents including documents related to procurement and budget with minimal supervision.

  • Ensure quality and timeliness of all documents/report writing prior endorsed for further approval/actions.

3) Other duties related to JELI’s activities as assigned.

  • Conduct relevant activities of research projects under JELI

 

 

Required Qualifications and Experience

  • Bachelor’s degree, preferably in Social Sciences or Humanities, Business Administration or a related discipline with three (3) years of relevant work experience.

  • A minimum of at least three (3) years of experience in coordinating and administrative services, general support services, travel administration, or secretarial function (Logistics) is required.

  • At least a year of experience with nonprofit organizations. Preference will be given to candidates with familiarity in labor rights, advocacy, research, and capacity-building projects.

  • Strong coordination skills and interpersonal skills both in person and by phone with high professionalism. Possess experience and ability to negotiate with outside stakeholders, including media and workers in the gig economy.

Preferred and desired qualifications

  • Excellent prioritization skills, be able to manage multiple tasks at once and adhere to guidelines, budgets, and deadlines.

  • Pre-intermediate command of English and fluent in spoken and written Thai.

  • Ability to work in a startup organization and grow together with JELI’s team.

  • Capacity to adjust to short-term change quickly and flexible working hours.

  • Passion about economic justice and belief in gender and social equality
